Timetable

Set your bell timings, build each class timetable with automatic teacher and room clash checks, and print class and teacher timetables with a teacher-load summary.

The Timetable builds your school's weekly class timetable inside the school management system: when each period starts and ends, which subject each class has in every period, who teaches it and in which room. It checks every lesson as you place it, so a teacher or a room can never be booked twice at the same time, and it prints class and teacher timetables ready to pin up.

It has three screens, all under Exam & Att: Timetable Setup, Timetable Builder and Timetable Reports. Work through them in that order the first time.

Before you start

  • Your classes and sections, and the subjects each class studies, should already be set up.
  • Assign teachers to their classes and subjects in HRM → Assign Classes. The builder lists those teachers first for each class and warns you when you pick someone who is not assigned there.

1. Timetable Setup — the shape of the school day

New → Timetable Setup, then pick the campus.

  1. Bell schedule. Click New bell schedule. Tick the working days and the short day (Friday is ticked for you — untick it if your Fridays run on normal timing). Add each period and each break with its start and end time. Fill a standard day gives you eight periods with a break to edit. For the short day you can give a period different times, or mark it not held that day. Save.
  2. Most schools need one schedule per campus. If your junior and senior sections keep different timings, add a second schedule and choose it for those sections in the builder.
  3. Rooms (optional). Add classrooms, labs and halls if you want the timetable to stop two classes being put in the same room at once.
  4. Teacher load limits (optional). For each teacher, the most lessons per day, per week, and back-to-back. The builder warns you before any of them is broken.

2. Timetable Builder — filling in each class

New → Timetable Builder, then pick the campus and the class-section. You see the week as a grid: days down the side, periods across the top.

  1. Click an empty cell. Choose the subject, then the teacher. Each teacher shows whether they are free at that time and how many lessons they already have that day; teachers assigned to this class come first. Choose a room if you use rooms. Click Place lesson.
  2. If the teacher or room is already busy at that time, the lesson is not placed and you are told exactly where they are (class, period and time). Pick someone or somewhere else.
  3. Some things are only warnings — a teacher not assigned to this class, a teacher going over their limits, or a subject going over its weekly target. You can read them and choose Place anyway.
  4. Click a filled cell to change or remove its lesson.
  5. Lessons per week (the panel beside the grid): enter how many lessons each subject should get in a week. The panel shows how many are placed so far, so you can see at a glance what is still missing.
  6. Auto-fill empty cells: once the lessons-per-week targets are set and teachers are assigned to their subjects, this suggests lessons for the empty cells — only with a teacher who is free at that time and within their limits, spread across the week. You see the whole suggestion first, including anything it could not place and why; nothing is saved until you click Place. It never changes a lesson that is already there.

3. Timetable Reports — printing and checking

New → Timetable Reports, then pick the campus.

  • Class timetable: one section, or every section of the campus, one per page. Click Print.
  • Teacher timetable: one teacher, or every teacher with lessons, one per page. A teacher who teaches at more than one campus sees all of their lessons on one sheet.
  • Teacher load: lessons per day and per week for every teacher, with anyone over their limits highlighted.
  • Clash check: lists any teacher or room booked twice at the same time. This can only happen if period times were changed after lessons were placed — fix each one in the builder.
  • If your school used to upload a timetable file for each teacher, it is still shown on the Teacher timetable tab (Uploaded timetable file (legacy)), and you can still upload one there.

Things to watch out for

  • A period that has lessons in it cannot be deleted or turned into a break, and a working day with lessons cannot be removed. Clear those lessons in the builder first — the message tells you how many are in the way.
  • A section cannot be moved to another bell schedule while it has lessons. Clear its timetable first.
  • If you change period times after building timetables, run the Clash check on the Reports screen.
  • Two sections taught together by one teacher at the same time (a combined class) is not supported yet: the builder treats it as a clash.

Finding enabled modules

The New menu is between General and Core. It appears only when at least one new module is enabled for your institute, and shows only enabled modules. Your user privileges still control which screens you can open. Ask EDUBase support about enabling a module.
