Transport: routes, vehicles, drivers and student allocation

Record your vans and buses, their drivers and conductors, and routes with ordered stops; allocate students to a route and stop with a seat check; print route rosters; and see route strength, renewals due and a transport-fee check.

The Transport module keeps everything about your school vans and buses in one place: the vehicles, the people who drive and accompany them, the routes they run with every stop in order, and which student rides which route. Open it from New → Transport; its five screens are tabs at the top of the page: Routes & Stops, Vehicles, Drivers & Conductors, Student Allocation and Reports.

Set up in this order

  1. New → Transport → Vehicles — press Add vehicle and enter the registration number, the type (bus, coaster, van, car, rickshaw), the number of seats, and the fitness certificate and insurance expiry dates. The seat count is what the module uses to stop a route from being over-filled, so enter the real number. A vehicle in the workshop can be marked Maintenance; one you no longer use, Inactive.
  2. New → Transport → Drivers & Conductors — press Add driver or conductor for each driver, conductor or female attendant with phone number, CNIC, and (for drivers) licence number and expiry. If the person is already on your staff list, pick them from Link HRM employee and their name, phone and CNIC fill in by themselves. Hired drivers who are not on your staff can be entered by name.
  3. New → Transport → Routes & Stops — press Add route, give it a name (for example "Route 3 – Model Town"), choose its vehicle, driver and conductor, the morning pickup and afternoon drop start times and the monthly fare. Then add the stops in the order the vehicle reaches them, each with its pickup and drop time. A stop may carry its own fare if it costs more or less than the route's fare. Use the arrows to reorder stops.
  4. New → Transport → Student Allocation — press Allocate students, search a student by name, roll number or admission number (or pick a whole class), tick the students, then choose the route, the stop, whether they ride for pickup, drop or both, and the date they start.

Seats and the capacity check

Each route shows seats taken / seats. When an allocation would put more students on a route than its vehicle seats, the module refuses it and tells you how many seats are left. If your school deliberately runs a route over its seat count, turn on Allow over-capacity under Routes & Stops → Settings. Only students who are currently enrolled take a seat.

Moving and ending

  • A student can be on one route at a time. To move a student to another route, allocate them to the new route and tick Move from current route — the old allocation ends the day before the new one starts, and both stay in the student's history.
  • When a student stops using transport, tick them in the allocation list and press End with the last day they rode. Use Delete only for an allocation entered by mistake.
  • A route that has ever carried a student cannot be deleted; mark it Inactive instead. A vehicle or person still assigned to a route cannot be deleted until the route uses someone else.

Route roster

On the Routes & Stops tab, tick a route and press Print roster. The roster lists the vehicle, driver and conductor with their phone numbers, then every stop in order with its times and the students who get on or off there, with class, roll number, father's name and mobile. Give it to the driver and the conductor.

Reports

The Reports tab has three reports.

  • Route strength — for every route: seats, students allocated, seats left, how many ride pickup only, drop only or both, and any allocation that still belongs to a student who has left (end those).
  • Renewals due — vehicle fitness certificates, insurance and driving licences that expire within the next 30 days (change the number of days in Settings), and any that have already expired.
  • Fee check — compares each riding student's transport fare with the transport fee on that student's fee plan, and lists students whose fee plan still charges transport although they are not on any route.

Transport fee

The module does not create a second transport fee. Fares entered here are the amounts you expect to charge. The fee itself stays your school's existing Transport Fee fee head on each student's fee plan, which is what challans are generated from. Under Routes & Stops → Settings, choose which fee head is your transport fee; the Fee check report then shows where a fee plan and a fare disagree, and you correct the fee plan in the usual fee-plan screen.

Who can use it

Each of the five screens is a separate privilege under the Transport group, so a school can let a transport clerk allocate students without letting them edit vehicles or routes. A user only sees and allocates students of the campuses they have access to. Parents are not sent any message by this module.

Finding enabled modules

The New menu is between General and Core. It appears only when at least one new module is enabled for your institute, and shows only enabled modules. Your user privileges still control which screens you can open. Ask EDUBase support about enabling a module.
