How to Correct Past-Day Student Attendance

To correct Student Attendance for a past day in EDUBase, open the attendance records for the relevant class and date, then update the student's attendance mark. The change is logged.

What should you check before correcting attendance?

Confirm the student's identity, campus, class, section and the date of the incorrect entry. Check the original class register or ask the staff member who took attendance so the correction reflects what actually happened.

Distinguish an incorrect attendance mark from a disagreement about the school's attendance policy. For example, a student who arrived late may need a Late mark rather than Present, depending on the school's rules.

  • Identify the exact past date that needs correction.
  • Confirm the correct mark using the school's attendance evidence.
  • Check the school's chosen attendance acronyms before changing the record.

How do you update the wrong attendance mark?

In Student Attendance, open the attendance records for the relevant class, section and past date. Find the student and update the incorrect mark using the attendance marks configured by your school.

EDUBase supports corrections to a past day and logs the change. Available attendance marks include Present, Absent, Late and Short Leave, and schools can choose their own acronyms.

  • Check the date again before making the correction.
  • Change the affected student's mark to the confirmed attendance status.
  • Reopen the record after completing the update to verify that the intended mark is recorded.

What if you cannot edit the attendance record?

EDUBase gives staff per-user, per-screen and per-action privileges, including view-only versus edit access. Campus scope also limits which campuses a user can see.

If you can view attendance but cannot correct it, ask your school administrator to check your editing rights and campus access. The administrator should grant only the access needed for your role or arrange for an authorised staff member to make the correction.

How can you verify the correction and its history?

Review the student's attendance for the corrected date, then check the relevant attendance summary. Student Attendance provides per-student, per-class, day-wise and combined summaries, which help the office check the record in its wider context.

For an audit trail, User Logging records who created, changed or deleted a record. It includes filters and a link that opens the record with the change highlighted. Staff reviewing a disputed correction should compare the recorded change with the evidence used to authorise it.

  • Confirm the student's final mark for the correct day.
  • Review the relevant attendance report.
  • Use User Logging when you need to establish who changed the record.

What else should you review after changing an absence?

EDUBase can send absentee SMS or WhatsApp messages to parents and can optionally add an absence fine to the next fee challan. If the original mark was Absent, review whether a parent received an incorrect message or an attendance-related charge needs attention.

Treat the attendance correction, parent communication and any fee adjustment as separate checks. Confirm the current record and any affected challan before telling the family the issue is resolved. If a message caused confusion, explain the corrected attendance through the school's normal communication process.

Frequently asked questions

Can I correct Student Attendance after the day has passed?
Yes. EDUBase supports correcting a past day's student attendance, and the change is logged.
Can view-only staff change an attendance mark?
View-only access does not provide editing rights. Ask your school administrator to check your per-screen and per-action privileges and the campuses assigned to you.
Can I see who changed an attendance record?
User Logging records who changed a record and provides a link that opens it with the change highlighted. Use it to review the correction alongside the school's attendance evidence.
What should I do if an incorrect absence led to a fee fine?
Correct the attendance record and review the affected fee challan separately. Have the authorised finance staff check whether a fee adjustment is needed before confirming resolution to the parent.
Is correcting employee attendance the same process?
Employee Attendance also supports per-day corrections with the change logged. However, staff attendance can be locked once salaries are done, so check whether the month is locked before attempting a correction.
