Student Records: Delete or Mark Inactive?

Mark a leaving student inactive with a leaving date rather than deleting them. In EDUBase their history is kept and their old dues, challans and payment history stay reachable in Students Not Currently Enrolled, so fees can still be collected or reviewed.

Why is marking a student inactive safer than deleting the record?

In any school management system, a student record is not a standalone entry. Challans, payments, attendance, marks, certificates and finance postings all point back to that child. Deleting the record can leave those entries without an owner, or remove them altogether, and the school loses the trail it needs for audits, disputes and returning families.

EDUBase handles leavers through Active, inactive and left students. You mark the child as a leaver with a leaving date, and their history stays in the system. Fees, attendance and exams continue to see the same child, because they all read from the same student record.

  • The record leaves day-to-day class lists but is not lost.
  • Old dues, challans and payments remain attached to the child.
  • The change is recorded in the Student change log, showing who changed the status and when.

What happens to a leaver's fees and old dues?

When a child is marked as left, their fee history does not disappear. Students Not Currently Enrolled is a separate view of leavers, so their old dues, challans and payment history stay reachable. If a family still owes money, the office can find the balance and take payment against it.

Payment History continues to show every payment the student or family has ever made. For year-end checks, the Fee Audit Report shows historical fee collection by the class and session at the time of billing, unaffected by later promotions, so last year's figures stay the same even after students leave or move up.

  • Unpaid challans remain against the student record.
  • Past receipts stay visible in Payment History.
  • Cancelled fee transactions are listed separately under Voided transactions, with who and when.

How do I mark a student as left?

Open the student's record, change their status to inactive or left, and enter the leaving date. If a whole group is leaving, for example at the end of a session, Bulk update lets you change status for many students at once.

If the family needs a school leaving certificate, it can be printed from Certificates. The Certificates log records who was issued which certificate and when, so duplicates are never given by mistake.

  • Check for unpaid dues before the family collects documents.
  • Enter the correct leaving date so reports reflect the right period.
  • Use Bulk update for session-end leavers instead of editing one by one.

When is deleting student data the right choice?

Deletion makes sense for data that should never have existed, such as demo or test entries created while setting up. EDUBase provides Data truncate (controlled) to clear demo or test data under strict rights, with the action logged.

For real students, including duplicates entered by mistake, speak to whoever holds the relevant rights before removing anything. User Logging records who created, changed or deleted any record, with a severity badge, so every removal remains traceable.

What if the student comes back?

Because the record was kept, a returning child can simply be re-activated. Their earlier attendance, results and fee history are still there, and siblings linked under the same family number remain grouped for family vouchers, payments and reminders.

Had the record been deleted, the office would have to re-admit the child as new, re-enter details and lose the connection to their past dues and payments.

Who can change a student's status?

Users and privileges let the school grant per-user, per-screen and per-action rights, including view-only versus edit. Limiting who can mark students as left, and who can remove data, keeps fee records protected. Campus scope means a user sees only the campuses granted to them.

Frequently asked questions

Will marking a student inactive remove their unpaid fees?
No. Their old dues, challans and payment history stay reachable in Students Not Currently Enrolled, so the office can still collect or review the balance.
Can I bring back a student who left last year?
Yes. A returning child can be re-activated, and their earlier history is still attached to the record.
Does a leaver change last year's fee collection figures?
No. The Fee Audit Report shows collection by the class and session at the time of billing, so later promotions or leavers do not change those figures.
Can I mark a whole class as left at the end of the session?
Yes. Bulk update lets you change status, class, section or other fields for many students at once.
How do I clear the test students we added during setup?
