In EDUBase, teachers enter exam marks through award lists: you create an award list for a class, subject and exam type on the web portal, key in or update each student's marks on that list, and save. Marks SMS to parents can be sent in the same step, and the saved marks then feed grades, positions, result cards and examination reports.
What has to be set up before marks can be entered?
An award list only appears once the exam structure exists. The office usually does this part once per session, and teachers then work inside it for every test.
If a subject is missing from the list, or a student is not shown, the fix is almost always in this setup rather than in the marks screen itself.
- Subjects, subject groups and subjects attached to each class
- Test types such as monthly test, mid-term and final, with weightage for term totals
- Grading policies — school-wide or class-specific grade bands and pass marks
- Subject allocation for students taking optional or elective subjects
- User privileges, so the teacher's login can open and edit the right award lists
How does a teacher enter marks subject-wise on the award list?
Marks entry happens on the Award Lists and marks entry screens in the web portal. You select the class, the section, the subject and the exam (test type), and the list opens with the enrolled students for that combination.
You enter the obtained marks against each student, save, and reopen the same list later to update anything that was left blank or entered wrongly. Because the list is built per class, subject and exam, one teacher's paper never overwrites another subject's marks.
Where a school prefers to see several subjects together, combined award lists cover more than one subject on the same view.
- Pick class, section, subject and exam type to create or open the award list
- Enter or update marks student by student and save
- Use combined award lists when several subjects are handled together
- Send marks SMS to parents in the same step, if the school wants it sent then
- Print the award list or export it to Excel for a paper record
Who can see the marks once they are saved?
Saved marks are visible inside the portal immediately to staff who have rights to that screen. Whether parents see them is a separate decision: the examinations module has a show or hide marks option for the Parents App, so a school can enter results now and release them at PTM time.
Marks SMS is also a deliberate action, so a class can be fully entered and checked before anything reaches families.
- Show or hide marks in the Parents App until the school is ready to release
- Marks SMS can go out from the award list step
- Result cards and reports pick up the same marks with no re-entry
What happens to the marks after entry?
The award list is the single source for everything that follows. Grades come from the grading policy, term totals use the weightage set against each test type, and positions are calculated per class and section — optionally counted only among students who passed every subject.
From the same data the school prints themed result cards with its own branding and signatures, and Examination Reports produces class, section, subject, term and combined views. The Teacher Performance report turns the same results into a per-teacher picture of pass rate and averages against other teachers of the same subject.
- Grades from school-wide or class-specific grade bands
- Term totals using test-type weightage
- Class and section positions with the school's pass rule
- Result cards, month-wise, subject-wise, term-wise and combined reports
- Excel export or print for any award list or report
What should a teacher do when something looks wrong?
Most problems in marks entry are structural, not clerical. A student missing from the list usually means the subject is not allocated to that child or the student is in another section; a subject missing from the class means it has not been attached to that class yet.
Marks can be re-opened and updated on the same award list, and the portal keeps an activity log of who created, changed or deleted records, so corrections are traceable. If you are unsure which screen to use, the in-app AI assistant answers how-to questions in English or Roman Urdu and links to the exact screen and tutorial video.
- Student missing: check subject allocation, section and enrolment status
- Subject missing: check subjects in classes for that class
- Grade looks odd: check the grading policy and pass marks for that class
- Total looks odd: check the weightage on the test type
Ways of handling subject-wise marks in EDUBase examinations
| Approach | How it works | Good for | Points to note |
|---|---|---|---|
| Single-subject award list | Create the list for one class, section, subject and exam, then enter marks | A subject teacher entering their own paper | Keeps each subject separate from the others |
| Combined award list | One award list covering several subjects | Class teachers or small classes handled together | Set up as a combined list rather than per subject |
| Print then key in | Print the award list, mark it on paper, enter it later | Schools that want a signed paper record | Entry still happens on the same screen afterwards |
| Excel export | Export the award list or report to Excel or CSV | Checking, archiving or sharing with management | Reports and award lists export; results live in the portal |
| Release to parents | Show or hide marks in the Parents App, plus marks SMS | Controlling when families see results | Entry and release are two separate actions |
