Exams Setup: Combine Terms with Weightage

To combine terms into a final result, set their contribution percentages and check the grading policy before reviewing combined results. EDUBase supports test types with weightage for term totals and combined reports.

What should the principal agree before exams setup?

Begin with the school's assessment policy: which assessments contribute to the final result, how much each contributes, and which pass rules apply. Teachers and examination staff should use the same policy when preparing marks.

EDUBase supports monthly tests, mid-term, final and custom exam types, with weightage for term totals. It also provides school-wide or class-specific grade bands and pass marks. Define the academic policy before entering marks so the final report reflects an agreed calculation.

  • Identify the assessments or terms that contribute to the final result.
  • Agree the percentage contribution of each component.
  • Confirm subjects, maximum marks, grade bands and pass marks.
  • Decide how missing marks and subject failures should be handled.

How do weightage percentages combine results?

In a weighted calculation, each component contributes its agreed share of the final result. When components have different maximum marks, convert each score to a percentage before applying its weight. The contributing weights should together represent the whole final result.

For example, a school may give the final term a larger contribution than earlier terms. Calculate each term's contribution using its agreed weight, then add the contributions to obtain the final percentage. This illustrates the calculation; the school must agree its own assessment policy.

  • Component contribution = earned marks ÷ maximum marks × component weight.
  • Final percentage = the sum of all component contributions.
  • An equal average gives every component the same influence; unequal weights give selected components more influence.

How should examination staff prepare EDUBase?

Define subjects and subject groups, attach them to classes, and establish the relevant test types and weightage. Apply the school's grading policy, including any class-specific grade bands or pass marks.

Create award lists per class, subject and exam, then enter or update marks. Where students take optional or elective subjects, use subject allocation to assign those subjects to the individual students. Check these assignments before interpreting combined outcomes.

  • Check that the intended subjects are attached to each class.
  • Review test types and their weightage against the approved policy.
  • Check award lists for incomplete or incorrect marks.
  • Confirm elective subject allocations before reviewing final results.

What should the principal check in combined reports?

EDUBase provides month-wise, subject-wise, term-wise and combined reports. Examination Reports includes class, section, subject and term views with grades, positions and printable result cards.

Before issuing results, compare a sample of combined outcomes with an independent calculation based on the school's policy. Check both high and low scores, different subject maximums, and any incomplete records. A missing score needs an explicit school decision before it is treated as zero.

Review position rules separately from the weighted calculation. EDUBase supports class and section positions, optionally counted only among students who passed every subject.

  • Recalculate selected results using the approved weights.
  • Check that grades match the applicable grade bands.
  • Review subject failures and their effect on positions.
  • Inspect the result card wording, school branding and signatures.

When should results be shared with parents?

Complete the academic review before releasing marks. EDUBase allows the school to enter results and show or hide marks in the Parents App, so publication can follow the school's chosen PTM timing.

Award lists and examination reports can be printed or exported. Use these outputs for review, then issue result cards with the school's branding and custom signatures. Explain the assessment weights to parents so they can understand how individual term performance contributes to the final result.

Ways to interpret results across several terms

ApproachWhat it involvesWhen it is useful
Equal weightingEach term percentage contributes the same share. The school's policy gives every term equal importance.
Unequal weightingEach term percentage contributes a different agreed share. The school's policy gives selected assessments greater influence.
Term-wise reportingEach term is reviewed separately. The principal wants to inspect progress before reviewing the final outcome.
Combined reportingResults are reviewed together in a combined report. The principal needs to check the overall outcome against the assessment policy.

Frequently asked questions

Can EDUBase use weightage for different exam types?
Yes. EDUBase supports monthly tests, mid-term, final and custom exam types, with weightage for term totals, alongside term-wise and combined reports.
Should the contributing weightage percentages represent the whole final result?
Yes, for a final result expressed as a weighted percentage. Check the complete assessment policy so no contributing component is omitted or counted twice.
What if terms have different maximum marks?
For a comparable weighted percentage, first divide earned marks by the relevant maximum marks, then apply the component's weight. Verify sample calculations against the school's approved policy before issuing results.
Can different classes use different grading policies?
Yes. EDUBase supports school-wide or class-specific grade bands and pass marks.
Can we check results before parents see them?
Yes. EDUBase lets the school show or hide marks in the Parents App, allowing results to be entered before their release to parents.
Can students who fail a subject be excluded from positions?
Yes. EDUBase supports class and section positions optionally counted only among students who passed every subject.
