Face Attendance: How It Works and What You Need

EDUBase face attendance uses an ordinary Android tablet at the gate that recognises enrolled students and staff on the device, checks for a live face and marks attendance like the register. You need the tablet, the face attendance app and a gate named on the web portal.

How does face recognition attendance work in general?

Face recognition attendance replaces a register or card with the person's face. A camera captures the face, software compares it with the faces enrolled in advance, and when it finds a match it records that person as present at that time.

Good systems also check that the face in front of the camera belongs to a live person, so a printed photo or a picture on a phone cannot be used to mark someone in. The recorded punch then feeds the same attendance records the school already uses.

  • Enrolment: each student or staff member's face is registered before the device can recognise them.
  • Recognition: the device matches the face at the gate against those enrolled.
  • Liveness: the system rejects photos held up to the camera.
  • Recording: a match becomes an attendance entry with the time.

What device and app does EDUBase face attendance need?

The EDUBase face attendance app runs on an ordinary Android tablet. You do not need a dedicated face terminal to use it; the tablet is placed at the gate or entrance where students and staff arrive.

Recognition runs on the tablet itself, so a slow internet connection does not hold up the queue at the gate. Each tablet has its own device credential rather than a staff member's login.

If your school already uses standard fingerprint or face terminals, EDUBase can also connect those so their punches mark attendance. Our team can advise on setup during onboarding and training.

  • An ordinary Android tablet for each gate.
  • The EDUBase face attendance app installed on it.
  • The gate named and monitored on the Face Attendance Gates screen in the web portal.
  • Students and staff enrolled so the tablet can recognise them.

What happens after someone is recognised at the gate?

The face attendance app marks attendance through the same path as the class register. That means parent alerts, attendance reports and fines behave exactly as they do for any other attendance method.

For students, parents get the same absentee or arrival messages as with any other method, by SMS, WhatsApp or Parents App notification depending on how your school has set up messaging. For staff, face punches mark employees in and out, and late arrival, short leave and absence feed the salary calculation automatically.

  • Student attendance appears in the usual individual, class and combined reports.
  • Staff attendance appears in the employee attendance reports.
  • Out-time rules, such as automatic Short Leave for early clock-out, apply whatever the reader.
  • Attendance fines can optionally flow to the next fee challan.

How do we manage the gates from the web portal?

Each tablet is set up as a gate on the Face Attendance Gates screen. From there the office can see what every gate is doing without walking to it.

  • Name each gate, for example main gate or staff entrance.
  • See each gate's last check-in and last punch.
  • Pause a gate when it should not be marking attendance.
  • See which gate marked a particular person.

What if a tablet is lost or stolen?

Because every tablet has its own device token, a lost tablet can be cut off on its own. Nobody's password has to change, and the other gates keep working.

The wider platform also keeps device credentials separate from staff logins: attendance tablets, sender phones and gates each hold their own revocable tokens, and all portal and app traffic runs over HTTPS.

Can face attendance run alongside QR, biometric and the register?

Yes. QR Attendance App scans, biometric terminals and face attendance tablets all feed the same attendance tables. A school can use face gates at the main entrance, QR cards in classrooms, and the class register or Teacher App wherever that suits better, and reports show one consistent picture.

Frequently asked questions

Do we need special hardware for face attendance?
No dedicated terminal is required. The EDUBase face attendance app runs on an ordinary Android tablet placed at the gate.
Will face attendance stop working if our internet is slow?
Recognition runs on the tablet itself, so a slow connection does not hold up the queue at the gate.
Can a student mark a friend in by showing a photo?
No. The app includes a liveness check, and a photo held up to the camera is not accepted.
Do parents still get arrival and absentee messages?
Yes. Face attendance marks through the same path as the register, so parents receive the same absentee or arrival messages as with any other method.
Can face attendance be used for teachers and staff too?
Yes. The tablet recognises enrolled staff as well as students, and staff punches feed employee attendance and the salary calculation.
What do we do if a gate tablet goes missing?
Revoke that tablet's device token and it is cut off. No staff passwords need to be changed.
Can we see which gate marked a child?
Yes. The Face Attendance Gates screen shows which gate marked a person, along with each gate's last check-in and last punch.
