In EDUBase's new ledger, a posted expense or journal entry is corrected by reversal, rather than editing or deletion. Both entries remain recorded; enter the correct transaction if needed.
Can I edit or delete a posted expense or journal entry?
EDUBase's new ledger uses reversal-only corrections: a posted entry is never edited or deleted. Reversing it keeps both the original entry and the reversal, preserving the accounting record.
This distinction matters when reviewing an error. The original transaction remains visible so the finance team can understand what was posted and how its effect was corrected. If the underlying expense or journal is still required, record the correct transaction after addressing the mistaken posting.
What should I check before making a correction?
Start by identifying the exact entry. EDUBase's General ledger and GL inquiry let you drill from an account into its entries for a date range, with print available. Check the transaction against the supporting bill, voucher or accounting instruction.
As a general accounting practice, establish whether the problem is a duplicate, an incorrect amount, the wrong account or a transaction that should never have been recorded. That determines whether a replacement entry is needed.
- Confirm which accounts and amounts were affected.
- Check whether another correct entry already records the same transaction.
- Identify whether the entry came from a manual journal, an expense or an automatic posting.
- Check the accounting period before deciding how to record the correction.
How should I record the correct expense or journal?
Use the reversal approach for the mistaken posted entry in the new ledger. Where a valid transaction still needs recording, EDUBase supports direct journal entries and the simpler Add Expense and Add Other Income screens.
In general accounting terms, a reversal offsets the mistaken entry, while the replacement records what actually happened. For a duplicate expense, a replacement may be unnecessary because the valid expense is already recorded. For a wrong amount or account, the replacement should reflect the supporting document.
If the entry originated from a fee receipt or salary payment, check that source transaction before adding a manual correction. EDUBase posts fee payments, refunds and salaries to the ledger automatically, so a separate entry needs careful review to avoid recording the same event again.
What if the accounting period is closed?
EDUBase supports accounting periods that can be closed so nothing can be posted into them. A correction must respect that restriction.
As a general accounting practice, ask the person responsible for the accounts to determine the appropriate permitted period and accounting treatment. Keep the relationship between the original transaction and its correction clear in your supporting records, especially where financial statements have already been reviewed.
How do I verify the correction and review responsibility?
Review the affected accounts through General ledger and GL inquiry, then check the trial balance, P&L or balance sheet as relevant. A balanced journal alone does not establish that the right accounts were used; compare the resulting balances with the intended treatment.
EDUBase provides per-user, per-screen and per-action privileges. User Logging records who created, changed or deleted records, with changed fields highlighted. These access and review tools support accountability, while the new ledger's reversal-only rule preserves posted entries.
- Confirm that the mistaken entry and its reversal are both recorded.
- Check that any replacement uses the intended accounts and amounts.
- Verify that a duplicate expense or income has not been left in the accounts.
- Retain supporting documents explaining the reason for the correction.
Choosing the appropriate treatment for a mistaken posting
| Situation | Correction approach | What to verify |
|---|---|---|
| Duplicate posted expense | Reverse the duplicate in the new ledger; a replacement may be unnecessary. | The valid expense remains recorded once. |
| Wrong amount or account | Reverse the mistaken entry and record the correct transaction where required. | The replacement agrees with the supporting document. |
| Transaction should not exist | Reverse the mistaken posting without creating a replacement. | Its effect has been offset in the affected accounts. |
| Entry in a closed period | Have the responsible accountant determine the permitted correction period and treatment. | Nothing is posted into the closed period. |
| Automatic fee or salary posting | Review the source transaction before making a separate accounting correction. | The same receipt or payment is not recorded again. |
