Campuses & Branches: Add and Manage a Second Campus

In EDUBase you add the branch as a new campus in School Setup, choose the classes and sections it runs, and grant staff access to it. As owner you see every campus and switch between them from the top bar or the Owner App, or view all campuses combined.

What counts as a campus or branch in EDUBase?

In EDUBase a branch is set up as a campus inside your school's existing account. You can run any number of campuses, and each one keeps its own settings, its own SMS device and its own bank routing.

Because every campus sits inside the same school setup, students, fees, attendance, exams and staff all read from one set of records. A child moved from one branch to another keeps the same profile, family link and payment history.

  • Private schools opening a second building
  • School groups and multi-campus chains
  • Colleges and academies running separate city branches
  • Madaris with more than one site

How do I add the second campus?

Campus setup is part of School Setup & Multi-Campus. The order below avoids rework later, because the admission form, fee plans and attendance all depend on the campus having its classes and sections in place first.

  • Add the new campus and its city in School Setup.
  • Choose which classes run at that campus, then add the sections in each class.
  • Set seat limits per class or section with Admission Capacity if the branch has fixed rooms.
  • Set the campus's own SMS device and, if you use bank collection, its bank routing.
  • Create or extend fee plans for the new campus's classes.
  • Grant the right staff access to the new campus, then admit students or load them from Excel with Upload Students.

How do I manage both campuses from one login?

Owners see all campuses. On the web portal you switch campus from the top bar, and staff who have rights to several campuses do the same. Reports can then be read per campus.

On your phone, the EDUBase Owners App lets you select a campus or view all of them together. It shows today's income, expenses and net balance, attendance, collections, defaulters and new admissions, and lets you approve salary changes, advances and leave across every campus.

The Communication Center also gives the owner sight of conversations across campuses, so you do not need a separate login per branch to keep oversight.

  • Web portal: switch campus from the navbar
  • Owner App: pick one campus or view all
  • Daily P&L and defaulters per campus or combined
  • Approvals for all campuses in one place

How do I stop branch staff seeing the other campus?

Each staff login is given campus scope: a user sees only the campuses granted to them. Within that, rights are set per screen and per action, including view-only versus edit.

For money and HR, payments, discounts, salary changes, admissions and leave can require a second person to approve. User Logging records who created, changed or deleted any record, with a severity badge, and a daily summary of important changes reaches the navbar bell and the Owner App.

  • Branch principal: only their campus, full academic rights
  • Branch accountant: only their campus, fee screens
  • Owner: all campuses, all reports and approvals

Which routines run separately for each campus?

Bulk challan generation can be run for one campus, a class or the whole school. Scheduled challan generation under Fee Automation lets you set the campus and class scope, so each branch can follow its own billing routine.

The Free SMS Sending App sends the portal's SMS queue from the school's own SIM campus by campus, so each branch can use its own phone. Bank fee collection uses the consumer number on each voucher, and payments appear in Payment History and Day Wise Paid Challans like any other payment.

Can students and staff move between campuses?

Yes. Batch transfer and promotion moves students between sections and campuses in one action without retyping anything. Their old dues, challans and payment history stay with them.

If the new branch already has students in registers or another system, Upload Students, Upload Fee Plans and Upload First Time Arrears bring them in from Excel, with large files processed in the background and an in-app notification when they finish.

Frequently asked questions

Do I need a separate EDUBase login for each branch?
No. Campuses sit inside your school's account, and as owner you see all of them and switch from the top bar or the Owner App. Branch staff get their own logins limited to the campuses you grant.
Can I see combined figures for all campuses?
Yes. The Owner App and owner dashboard show income, expenses, attendance, collections and defaulters per campus or for all campuses together.
Can each campus collect fees into a different bank account?
Each campus has its own settings, including bank routing. The EDUBase team configures the routing with the school's bank and confirms the bank's tests before vouchers go live.
Can a branch principal be stopped from seeing the other campus's fees?
Yes. Give the principal campus scope for their branch only, and set per-screen and per-action rights, including view-only access where needed.
What happens to a student's fee history if they move campus?
Batch transfer moves the student without retyping, and their challans, old dues and payment history stay attached to the same record.
Does adding a campus change our subscription?
Commercial terms are discussed with the EDUBase sales team. Contact [email protected] or +92 300 0148829 before opening the new branch.
Will the EDUBase team help set up the new branch?
Yes. The team can load the branch's student data from an Excel template, and live online training on Google Meet can be scheduled on request, alongside support by WhatsApp group, phone and the in-app assistant.
