Attendance Alerts to Parents for Absence and Lateness

Mark attendance in EDUBase from the register, Teacher App, QR card, biometric device or face gate, and absentee SMS or WhatsApp reaches parents the same minute. Gate scans can also trigger a Parents App notification, and Late marks appear in the child's attendance in the app.

How do automatic absentee alerts reach parents?

Parent alerts in EDUBase are tied to attendance. As soon as a child is marked absent, an absentee SMS or WhatsApp message goes to the parent, so the office does not need to phone each family or type messages by hand.

The same rule applies whichever way attendance was taken. A class register, a QR scan at the gate, a biometric punch or a face attendance tablet all mark attendance through the same path, so parents get the same alerts whichever method the school uses.

For the principal, the Owner App lists today's absentees with call and WhatsApp buttons. If a parent has not responded, you can follow up directly from your phone.

Which attendance methods can send a parent alert?

Schools often use more than one method, for example QR cards at the main gate and the class register for the junior section. All of them feed the same attendance record.

  • Take attendance by class: the daily register per class and section, with marks such as Present, Absent, Late and Short Leave.
  • Bulk attendance: mark several classes or the whole campus on one screen.
  • Teacher App: teachers mark their assigned classes from an Android phone.
  • QR Attendance App: a free Android app scans student QR ID cards and marks attendance in real time.
  • Biometric devices: standard fingerprint or face terminals whose punches mark attendance in EDUBase.
  • Face Attendance Gates: an Android tablet at the gate recognises enrolled students on the device itself and checks for a live face.

Which channels can the school send alerts through?

You choose how messages leave the school. Many schools combine SMS for every family with app notifications for families who have installed the Parents App.

  • Free SMS Sending App: an Android app that sends the portal's SMS queue from the school's own SIM, campus by campus.
  • Branded SMS gateway: a masking or branded SMS provider connected through SMS Gateway Settings.
  • WhatsApp Service: link the school's WhatsApp number by scanning a QR code, then send through the hosted service or the desktop sender on a school PC.
  • Parents App notifications: push notifications for attendance to parents using the EDUBase Parents App on Android.

How are late arrivals and arrival times shown to parents?

Late and Short Leave are attendance marks in their own right, and your school chooses which acronyms it uses. Parents can follow their child's attendance, including these marks, in the Parents App.

When the school uses a gate method such as QR cards or a face attendance tablet, a scan can send an SMS, WhatsApp or app notification to the parent. This tells the family when the child actually came through the gate.

How do you control the wording of absentee messages?

Under SMS templates you write the school's own wording for absentee messages, using placeholders so each message carries the right child's details. The same templates area covers challan, marks and HRM messages, so the tone stays consistent.

Keep the message short and include a contact number for the office. This helps parents reply quickly if the absence is genuine or a mistake.

How can the principal check that nothing was missed?

Automatic alerts only work if attendance is actually taken. EDUBase gives the school several checks.

  • Attendance alerts tell you when a class has not been marked by the expected time.
  • SMS Report, Family SMS Report and App Notification Report show what was sent and to whom.
  • View and update lets staff correct a past day, and the change is logged.
  • Individual and combined reports give per-student, per-class and day-wise attendance summaries.

Frequently asked questions

Do parents need the Parents App to receive absentee alerts?
No. Absentee alerts can go by SMS or WhatsApp to the registered mobile number, so families without the app are still informed. App notifications are an additional channel for families who use the Parents App.
Can we change what the absentee message says?
Yes. The school writes its own wording in SMS templates, with placeholders for the child's details.
What happens if a teacher forgets to mark attendance?
Attendance alerts tell the school when a class has not been marked by the expected time. You can then follow up before the day moves on.
Can a wrongly marked absence be corrected?
Yes. View and update lets authorised staff correct a past day, and the change is logged so you can see who changed it.
Can an absence also be charged as a fine?
Optionally, yes. An absence fine can be added to the child's next fee challan if your school uses attendance fines.
Does face or QR attendance send the same alerts as the register?
Yes. Face attendance tablets and QR scans mark attendance through the same path as the register, so parents get the same absentee or arrival messages.
How do we know which messages were delivered?
The SMS Report, Family SMS Report and App Notification Report show what was sent and to whom. WhatsApp sending statistics and message history are shown on one screen.
