Fee Reports: Class-Wise and Month-Wise in EDUBase

In EDUBase, Class Wise Fee Particular Report and Student Wise Fee Status give class-wise figures, while Detail Fee Report and the month-wise defaulter report show charges, payments and dues by month. Every fee report prints or exports to Excel or CSV.

Which fee reports give a class-wise view?

Most owners want two things per class: how much was raised and how many children have actually paid. EDUBase answers these with two separate reports, both reading the same challans and payments the fee office already records.

If you need last year's class figures, use the Fee Audit Report. It keeps collection under the class and session the student was in when the fee was billed, so promoting students to the next session does not move old figures into new classes.

  • Class Wise Fee Particular Report: how much each fee head (tuition, transport, exam) raised per class.
  • Student Wise Fee Status: how many students in each class have paid this month and how many have not.
  • Fee Audit Report: historical collection by class and session at the time of billing, with collected amounts shown as cleared, awaiting approval and total.

Which fee reports give a month-wise view?

For month-by-month questions, the Detail Fee Report breaks charges and payments down by student, fee particular and month. This is the report to use when you want to see what was billed in a given month and what came in against it.

To see who is behind month by month, use the fee defaulters report by month. It sits alongside defaulters by total amount and by family, and each version has print and SMS/WhatsApp actions so the office can follow up straight from the list.

Fee Intimation shows what families are being asked for this month before they pay, which is useful at the start of the month to check the expected billing.

  • Detail Fee Report: charges and payments by student, particular and month.
  • Fee defaulters by month: who owes for which months.
  • Fee Intimation: this month's demand before collection starts.

How do I check daily collection and cash-up?

Day Wise Paid Challans is the cash-up report: everything collected, by day and by user. It also shows bank payments, so fees paid through a branch, banking app or 1Bill/1LINK channel appear next to counter receipts without separate entry.

Owners who prefer the phone can see today's collections, defaulters and the cash report in the EDUBase Owners App, per campus or combined.

Can I export fee reports to Excel?

Yes. Every fee report exports to Excel or CSV, including full-year audit exports. This suits owners and accountants who build their own pivot tables or share figures with partners and trustees.

Reports can also be printed as branded PDFs, so a monthly class-wise summary can go straight into a board file.

How do multi-campus schools read fee reports?

Multi-campus schools switch campus from the top bar and see campus-wise reports. Staff only see the campuses granted to them, while owners see all campuses, so a campus accountant and the group owner can run the same report at different scopes.

On the Owners App, campus selection lets you switch campus or view all when checking collections and defaulters.

What keeps the report figures reliable?

Fee reports are only as good as the records behind them. In EDUBase, unpaid balances roll into the next challan, discounts and payments can wait for a manager's approval, and a list of voided transactions records who cancelled what and when.

Because fee receipts also post to the finance ledger automatically, the collection figures in fee reports and the income in your books come from the same payments.

Frequently asked questions

Will promoting students change last year's class-wise fee figures?
Not in the Fee Audit Report. It records collection by the class and session at the time of billing, so later promotions do not affect historical figures.
Can I see which classes have the most unpaid students this month?
Yes. Student Wise Fee Status shows, for each class, how many students have paid this month and how many have not.
Do bank payments appear in fee reports?
Yes. Bank payments are visible in Payment History and Day Wise Paid Challans like any other payment, with no manual entry at the school.
Can I export a full year of fee data?
Yes. Every fee report exports to Excel or CSV, including full-year audit exports.
Can I check fee collections from my phone?
Yes. The EDUBase Owners App shows today's collections, defaulters and the cash report, for one campus or all campuses.
Can I send reminders directly from the defaulter report?
Yes. Each defaulter report, whether by amount, family or month, has print and SMS/WhatsApp actions.
