Correcting Student Records After Admission

Open the student's profile, correct the name, father's name or phone number, and save; change the class on the profile or with bulk update when several students are affected. Each change is recorded, so you can later see who changed what and when.

Where are a student's details corrected after admission?

In EDUBase every student has one record, from first enquiry to leaving certificate. The profile holds the student's details, guardian details, family links, photo and documents, and it is the same record that fees, attendance and exams read from.

Because of this, you correct a detail once on the student's profile and the rest of the system sees the corrected value. There is no separate copy in the fee or exam module to retype.

  • Search for the student and open their profile.
  • Correct the field that is wrong, for example the student's name, the father's name or the guardian's mobile number.
  • Save the record and check the profile shows the corrected value.
  • If the child has siblings linked under the same family number, check whether the same mistake was entered on their records too.

How do I change a student's class or section?

For one student entered in the wrong class or section, correct it on the student's record. When many students need the same change, use bulk update, which changes class, section, status, fee plan or any other field for many students at once.

To move a whole class to the next session, or to move students between sections and campuses, use batch transfer and promotion, which does it in one action without retyping anything.

  • One student in the wrong class: correct it on the profile.
  • Several students in the wrong section: use bulk update.
  • A whole class moving up, or students moving to another campus: use batch transfer and promotion.
  • After any class change, check that the student's fee plan still matches the new class; bulk update can change the fee plan in the same step.

What should I check when correcting a phone number?

The guardian's mobile number is more than contact information. Parents log in to the Parents App with a one-time code sent by SMS to a mobile number saved on the record, and absentee alerts, fee messages and notices sent by SMS or WhatsApp depend on the number being right.

If a parent has changed their number and cannot sign in after you correct it, permitted staff can look up the parent's login code on the Parents App OTP Portal.

  • Confirm the new number with the parent before saving it.
  • Correct it on every sibling's record if it was entered per child.
  • Use the Parents App OTP Portal if the login code does not arrive.

Do printed cards and certificates need reprinting after a name correction?

Printed documents show what was on the record when they were printed. After correcting a student's name or father's name, reprint anything the family or school still uses, such as the student QR ID card.

Leaving and character certificates are printed from your own templates. The certificates log shows who was issued which certificate and when, which helps when an older copy with the wrong spelling needs to be replaced.

  • Student ID card with QR code
  • School leaving or character certificate
  • Admission form, if a filled copy is kept on file

How do I correct many student records at once?

When a batch of records was entered with mistakes, for example during onboarding, you can use bulk update on screen or prepare the corrections in Excel and use Upload Students, which adds or updates students in bulk.

Large files are processed in the background, and you are notified in-app when the import finishes, so staff can carry on working in the meantime.

Who can correct student records, and how are changes tracked?

Each staff login has its own per-screen and per-action rights, including view-only versus edit, and can be limited to particular campuses. A school can therefore let the admissions office edit student records while teachers only view them.

The student change log shows who changed a student's fee, class or status, and when. The User Logging page records who created, changed or deleted any record, in plain sentences with a severity badge, and opens the record with the changed fields highlighted. A daily summary of important changes reaches the navbar bell and the Owner App.

Frequently asked questions

How do I find out who changed a student's details?
The student change log shows who changed a student's fee, class or status, and when. For any other field, the User Logging page shows who changed the record and opens it with the changed fields highlighted.
Can teachers edit student records?
Only if the school grants them that right. Privileges are set per user, per screen and per action, so a teacher can be given view-only access while the admissions office can edit.
Does promoting or moving a student change last session's fee figures?
No. The Fee Audit Report shows historical fee collection by the class and session at the time of billing, unaffected by later promotions.
A parent changed their mobile number and cannot log in to the app. What should we do?
Correct the registered mobile on the student's record, because the parent signs in with a number saved there and the one-time code is sent to it. If the code still does not arrive, permitted staff can look up the code on the Parents App OTP Portal.
Do I need to reprint the ID card after correcting a name?
Yes, a printed card shows the details that were on record when it was printed. Reprint the student's QR ID card from the corrected record.
What if the student has already left the school?
Leavers stay in Students Not Currently Enrolled with their history, old dues and payments still reachable. A child marked as left by mistake, or returning, can be re-activated instead of being admitted again.
Can the system help us find wrong records?
AI Account Scanning & Auditing runs a read-only scan that lists records which look contradictory, for example a student who is enrolled but has a leaving date. Nothing is changed automatically; a person confirms and corrects each one.
