Build fee plans from your fee heads with per-month amounts, define one per class, then assign it on the admission form, by bulk update or Excel upload. An empty list usually means no plan has been created or assigned for that student's class yet.
What is a fee plan in EDUBase?
A fee plan is the list of charges a student is billed, built from your school's own fee heads such as tuition, transport, exam and admission. Each head carries a per-month amount and can repeat in the months you choose, so a plan can charge tuition every month and exam fee only in exam months.
Fee plans can be defined per class or per student. Most schools create one plan per class and then record individual concessions against it, which keeps the monthly challan run simple and the reports consistent.
How do I set up class-wise fee plans step by step?
Fee setup works best in a fixed order, because every later step reads from the one before it.
- Confirm the school structure first: campuses, the classes each campus runs, sections and sessions are set in School Setup & Multi-Campus.
- Create your fee heads (tuition, transport, exam, admission and any others your school charges).
- Build a fee plan for each class with the per-month amount for each head and the months in which it repeats.
- Split large charges such as annual or admission fees into installment challans if families pay them in parts.
- Set the bank account, header and footer notes, voucher layout and branding in the challan settings so the first vouchers print correctly.
- Assign the plan to the students in that class (see the next section), then generate a test month's challans for one class before running the whole school.
How are fee plans assigned to students?
Creating a plan does not by itself bill anyone; each student needs a plan on their record. EDUBase gives several routes depending on whether you are admitting one child or setting up a whole school.
Siblings linked under one family number keep their own plans, but their vouchers, payments and reminders can then be handled per family.
- Admission form: choose the fee plan when admitting a new student.
- Bulk update: change the fee plan for many students at once, for example a whole class.
- Upload Fee Plans: assign fee plans to students in bulk from Excel; large files are processed in the background with an in-app notification.
- Per-student fee changes: adjust one child's fee for a single challan or permanently, with the concession recorded against the plan.
Why is the fee plan list empty for a student?
When a student's fee plan list shows nothing, the cause is almost always in the setup rather than in the student record itself. Work through these checks in order.
- No plan has been built yet for the student's class: fee heads on their own are not a plan, so confirm a plan exists with amounts filled in.
- The plan was made for a different class, section or campus: open the student's profile and check their current class and campus, especially after a promotion or batch transfer.
- The class is not set up at that campus: check which classes run at which campus in School Setup.
- Your login cannot see that campus: users only see the campuses granted to them, so ask an administrator to check your campus scope and privileges.
- The student is inactive or has left: leavers appear under Students Not Currently Enrolled, and a returning child can be re-activated.
- Someone changed the plan: the Student change log and User Logging show who changed a student's fee, class or status, and when.
How do I check the fee setup before generating challans?
Before the first school-wide run, confirm that each class is billed what you expect. Fee Intimation shows what families are being asked for this month before they pay, and the Class Wise Fee Particular Report shows how much each fee head raises per class.
If you use Fee Automation, every automation ships switched off and has a preview that shows exactly which children would be affected and by how much, without charging anything. At the start of a new session, Yearly fee increment raises fees across students in one operation instead of editing plans one by one.
Where can finance staff get help with fee setup?

Ways to assign a fee plan to students
| Method | Best for | What it involves |
|---|---|---|
| Admission form | New admissions | Select the fee plan while admitting the student, alongside guardian, family number and session. |
| Bulk update | A whole class or section | Select many students and change their fee plan in one action. |
| Upload Fee Plans | Onboarding or large changes | Fill an Excel file and upload it; processing runs in the background and notifies you in-app. |
| Per-student fee change | Concessions and special cases | Change one child's fee for a single challan or permanently, recorded against the plan. |
| Yearly fee increment | New session fee rises | Raise fees across students in one operation rather than editing each plan. |
