Fee Setup: Raising Fees for the New Session

In EDUBase, use the yearly fee increment to raise fees for a new session across students in one operation, or update the class fee plan and apply it to many students at once with bulk update. Generate the new session's challans only after the new amounts are in place.

What actually changes when fees go up for a new year?

In EDUBase, a student's monthly fee comes from a fee plan built from your own fee heads, such as tuition, transport, exam and admission, with per-month amounts and repeating months. Raising fees for the new year therefore means changing the amounts on the plans your students are assigned to, not editing challans one by one.

Challans are generated from those plans. In general it is safest to finish the fee increase before the first challans of the new session are created, so that every voucher, reminder and report reads the new amounts from the start.

How do I raise fees for the whole school in one operation?

The yearly fee increment raises fees for a new session across students in one operation. This suits schools that apply one policy decision, for example an annual tuition increase, to every class at once.

Before running it, agree the new figures with the owner or principal and note any families on concessions, because you will want to check those students afterwards.

  • Confirm the new session is set up and students have been promoted.
  • Run the yearly fee increment for the new session.
  • Open a few students from different classes and confirm their new fee.
  • Review concession and special-case students individually.

How do I increase fees for one class only?

When only some classes are changing, work at the fee plan level. Fee plans can be defined per class or per student, so you can adjust or create the plan for the class that is going up and leave the others untouched.

Bulk update then lets you change the fee plan for many students at once. If your class lists are already in a spreadsheet, Upload Fee Plans assigns fee plans to students in bulk from Excel, and large files run in the background with an in-app notification when they finish.

For individual exceptions, per-student fee changes let you change one child's fee for a single challan or permanently, with any concession recorded against the plan.

What order should the new-year fee steps follow?

The order matters more than the speed. A sensible sequence for the finance office is:

  • Promote students to the new session using batch transfer and promotion.
  • Apply the increase with the yearly fee increment, or update class fee plans and use bulk update.
  • Check a sample of students and all concession cases.
  • Generate the new month's challans in bulk, or let scheduled challan generation create them on your set date.
  • Inform parents through the Notice Board and News, SMS Blaster or Parents App notifications.

How do I check the increase was applied correctly?

Fee Intimation shows what families are being asked for this month before they pay, which is a quick way to spot a class that has not picked up the new fee. The Class Wise Fee Particular Report shows how much each fee head raises per class once challans exist.

The Student change log shows who changed a student's fee, class or status and when, and User Logging records who changed what across the system. The Fee Audit Report keeps last year's collection figures by the class and session at the time of billing, so promotions and the new fees do not disturb your previous-year audit.

Frequently asked questions

Should I increase fees before or after generating the new session's challans?
Make the increase first, then generate challans, so every voucher carries the new amount. If a charge must be added after challans exist, use the option to add an amount to generated challans.
Will raising fees and promoting students change last year's fee reports?
The Fee Audit Report shows historical collection by the class and session at the time of billing, unaffected by later promotions. Last year's audit figures stay as they were.
How do I handle students who have a concession?
Use per-student fee changes to set that child's fee, with the concession recorded against the plan. Check these students individually after any school-wide increase.
What happens to unpaid fees from last year?
Unpaid balances roll into the next challan automatically, and a month-wise breakdown of old dues can print on the voucher.
Can I see who changed a student's fee?
Yes. The Student change log shows who changed a student's fee, class or status and when, and User Logging records changes across the system with severity badges.
How do I tell parents about the new fees?
Post an announcement on the Notice Board and News, send a message with the SMS Blaster, or rely on Parents App notifications when challans are generated.
