Yes. EDUBase lets you enter marks on award lists now and keep them hidden in the Parents App, then release them to parents when the result is announced, for example at PTM time.
Can teachers enter marks before the result is announced?
Yes. In EDUBase, marks entry and the release of marks to parents are separate decisions. Teachers or the exam office create award lists per class, subject and exam, and enter or update marks as papers are checked. Entering marks does not by itself put them in front of parents.
The school can show or hide marks in the Parents App. This means you can complete marks entry for the whole term, check positions and grades, and correct mistakes while parents still see nothing. When the result is announced, you release the marks and families can view them in the app.
How does the release process work in practice?
A typical term-end routine looks like this:
- Set up subjects, test types (monthly test, mid-term, final or a custom type) and the grading policy once.
- Create award lists for each class, subject and exam, and enter marks while they remain hidden from parents.
- Review class results, grades and positions in Examination Reports, and correct any entries before anything is public.
- Print themed result cards with the school's branding and signatures if you hand them out on results day.
- On the announcement date, or at the PTM, release the marks so they appear in the Parents App.
What about marks SMS to parents?
Award lists also let you send a marks SMS in the same step as entering marks. Hiding marks in the Parents App does not cancel a message you choose to send, so if you want results kept private until the announcement, hold back the marks SMS as well and send it on results day.
Messages can go out by SMS, WhatsApp or Parents App notification, and the SMS Report shows what was sent and to whom, so you can confirm nothing went out early.
Why would a principal hold marks back?
Many schools prefer parents to hear the result in context, from the class teacher, rather than seeing a low mark on a phone the night before. Holding marks also gives the exam office time to recheck totals, positions and pass rules before families see them.
- Results can be discussed face to face at the Parent-Teacher Meeting, with strengths and weak areas recorded.
- Positions can be finalised first, including when they are counted only among students who passed every subject.
- Errors found during review can be fixed without parents seeing the incorrect figure.
Who controls what parents see in the app?
Marks visibility is a school decision, not a teacher-by-teacher one. Staff access in EDUBase is set per user, per screen and per action, so you can decide who may enter marks and who may release them. The User Logging page records who created or changed records, which helps if a question arises about when marks were updated.
Separately, Parent App Privileges let the school warn or block app features for families whose fees are overdue by a set number of months, with per-student overrides. Fee details and contact options are never blocked.
Ways to share exam results with parents
| Approach | What parents see | When it suits | What to watch |
|---|---|---|---|
| Release marks immediately after entry | Marks appear in the Parents App as they are entered | Short monthly tests where speed matters | Mistakes are visible before they are corrected |
| Hide marks until the result is announced | Nothing until the school releases the marks | Mid-term and final exams with a fixed results day | Hold back the marks SMS too, or it will reach parents early |
| Release at the PTM | Marks become visible on the meeting day | Schools that want teachers to explain results in person | Families who miss the PTM still need the release to see marks in the app |
| Printed result cards only | A branded result card handed to the family | Schools where many parents do not use the app yet | Parent App Analytics shows which classes have low app adoption |
