Exam Date Sheets: How to Create and Print Them

In EDUBase, exam date sheets are built per class on the Examinations menu: pick the class, set the date for each subject's paper, then print the date sheet. Roll number slips and exam-hall allocation are handled on the same menu.

What does a date sheet in EDUBase cover?

A date sheet is the timetable of papers for an exam: which subject is written on which day. In EDUBase, Date Sheets sit within Examinations & Results, alongside subjects, test types, grading policies, award lists and result cards.

Date sheets are built and printed per class. Each class gets its own schedule based on the subjects attached to it, so a school running different subject combinations across classes does not have to force them into one shared timetable.

What needs to be in place before you build a date sheet?

Because the date sheet reads from the same set-up as the rest of the exam module, a few things should be done first. Most schools complete these once at the start of the session.

  • Classes and sections are set up for each campus under School Setup & Multi-Campus.
  • Subjects and subject groups are defined and attached to the right classes.
  • Test types are created, for example monthly tests, mid-term, final or any custom exam type your school uses.
  • Staff who will prepare the date sheet have been given the relevant rights.

How do you create a date sheet step by step?

The exam office or principal works through one class at a time. The subjects listed come from the subjects already attached to that class, so they do not need to be typed again.

  • Open the Examinations menu in the web portal and go to the date sheets option.
  • Select the class you are scheduling for the exam you are planning.
  • Enter the date of the paper against each subject.
  • Save the date sheet, then repeat for the next class.
  • Check that no class has two papers on the same day before you print.

How do you print and share the date sheet with families?

Once a class's date sheet is complete, print it from the same menu to put on notice boards, hand to students or attach to the exam file.

To let parents know the schedule, the school can post an announcement through Notice Board and News, which appears in the Parents App and Teacher App with read tracking. A short message can also go out by SMS or WhatsApp to selected classes or families using the SMS Blaster.

How do roll number slips and exam halls fit in?

Roll number slips and exam-hall allocation are on the same Examinations menu as date sheets. After the date sheet is fixed, the school can assign exam roll numbers and halls to students and print roll number slips.

After the papers, marks are entered class by class on award lists, and result cards are printed in the school's branding. Marks can be held back from the Parents App and released at PTM time.

Who should be allowed to prepare date sheets?

EDUBase gives per-user, per-screen and per-action rights, including view-only versus edit, and can limit a user to the campuses granted to them. A principal can therefore let an exam coordinator prepare date sheets for one campus without opening fee or payroll screens.

The User Logging page records who created, changed or deleted records, which helps when a schedule is questioned later. If a staff member is unsure of the steps, the built-in AI assistant answers how-to questions in English or Roman Urdu with links to the exact screen and tutorial video.

Frequently asked questions

Do I need to set up subjects before making a date sheet?
Yes. Define subjects and attach them to classes first, because the date sheet is built per class from those subjects.
Can each class have a different date sheet?
Yes. Date sheets are built and printed per class, so classes with different subjects get their own schedule.
Can parents see the date sheet in the Parents App?
The school can announce the exam schedule through Notice Board and News, which appears in the Parents App, or send it by SMS or WhatsApp. Printed copies can also be handed to students.
Where do I print roll number slips?
Roll number slips and exam-hall allocation are on the same Examinations menu as date sheets. Assign exam roll numbers and halls, then print the slips.
Can I stop teachers from changing the date sheet?
Yes. Rights are set per user, per screen and per action, including view-only versus edit, so only the people you choose can change it.
Is there help if my exam coordinator gets stuck?
The in-portal AI assistant answers how-to questions in English or Roman Urdu and links to the exact screen and tutorial video. Live support is available 9:00 AM to 5:00 PM on working days by WhatsApp group and phone.
