In EDUBase, pick the student, choose the school leaving or character certificate, and print it as a branded PDF using your school's own wording and template. Every issue is recorded in the Certificates log, showing who received which certificate and when.
Which certificates and letters can the school print?
EDUBase prints school leaving certificates, character certificates and custom certificates written in your school's own wording. They sit alongside the other documents a school office prepares every week, so the admin desk works from one place instead of a folder of Word files.
All of these print as branded PDFs from print templates the school controls.
- School leaving certificate, for a child who is leaving or has left
- Character certificate, for a current or departing student
- Custom certificates with wording you set yourselves
- Letters such as consent letters, warning letters, fee reminder slips and migration slips
- Staff documents, including an employee character certificate, appointment letter and experience letter
How do you print a school leaving certificate?
A leaving certificate normally follows the student's exit from the school, so the record should show that the child has left before the certificate is issued.
- Mark the student as left and enter the leaving date; the student's history is kept, not deleted
- Find the student again in Students Not Currently Enrolled, the separate view of leavers
- Check the student's old dues, challans and payment history, which stay reachable from that view, if your school clears dues before releasing a certificate
- Choose the school leaving certificate for that student, review the wording and print it
- Confirm the issue appears in the Certificates log
How do you print a character certificate?
A character certificate can be needed while a child is still enrolled, for example for a scholarship or a transfer application, or at the time of leaving. Select the student, choose the character certificate, check that the wording suits the purpose, and print.
Because the wording comes from your school's own template, the principal can agree a standard text once and the office reuses it rather than retyping it for each request.
Can the wording and layout match the school's own format?
Yes. Certificates use your own wording, and they print from print templates you control. The branding screen applies your logo, colour theme and footer signatures to cards, result cards and reports, so printed documents look consistent across the school.
If your board or trust requires particular phrasing, set it in the certificate wording before staff start issuing certificates, so every copy follows the approved text.
How do you avoid issuing the same certificate twice?
The Certificates log records who was issued which certificate and when. Before printing, the office can check the log to see whether a certificate has already gone to that student, so duplicates are never given by mistake.
This also helps when a parent returns months later asking for a copy: the log shows the original issue, and the office can decide how to handle a duplicate under its own policy.
Who should be allowed to issue certificates?
Certificates carry the school's name, so most schools limit who can print them. EDUBase gives per-user, per-screen and per-action rights, including view-only versus edit, and a user sees only the campuses granted to them.
Changes to student records, such as marking a child as left, show in the User Logging page and the student change log, so the principal can see who changed a student's status and when.
