Staff Attendance: Setting Shift In and Out Times

Set staff weekly in/out timings and shift templates in EDUBase employee records. Review student attendance separately, and confirm how missing punches and late arrivals are handled before relying on automatic marks.

Where should you set staff shift timings?

Start with Staff Management (HRM). EDUBase supports per-employee weekly timings and shift templates used by attendance and payroll. Check each employee's assigned shift against the working days and arrival and departure times approved by the school.

Treat the shift as the expected working schedule. Before making changes, establish which employees follow the same timetable and which need individual weekly timings. This helps avoid applying a teaching timetable to reception staff or other employees with different duties.

  • Confirm the employee record and assigned shift.
  • Check weekly in/out timings against the school's current timetable.
  • Review exceptions before using attendance in salary calculation.

How should late arrival, absence and early departure differ?

Define these outcomes in the school's attendance policy before configuring or reviewing records. A late arrival means someone attended after the expected start; an absence means they did not attend. A missing device punch needs investigation because it does not, by itself, establish absence.

EDUBase supports an automatic Short Leave mark when an employee clocks out earlier than the allowed time. Employee late arrival, short leave and absence also feed salary calculation. Confirm the applicable late-arrival and missing-punch handling with support rather than assuming that a shift start time alone determines every mark.

  • Agree how approved leave should be distinguished from absence.
  • Decide who reviews missing or disputed punches.
  • Confirm early clock-out handling before attendance reaches payroll.

How should you handle student timings and attendance marks?

Review student attendance separately from employee shifts. EDUBase provides a daily register by class and section, with attendance marks including Present, Absent, Late and Short Leave. Schools can choose their own attendance acronyms.

Students can be marked through the class register, the Teacher App, QR scans or biometric devices. Establish the expected arrival time for each relevant class or session, then confirm how that policy should be applied through the chosen attendance method. Do not assume employee shift settings also define student late or absent rules.

  • Check the student's class and section before reviewing attendance.
  • Use consistent meanings for attendance marks across the school.
  • Review absentee alerts and any optional absence fine before using them operationally.

What should you check for QR, biometric, face and phone attendance?

EDUBase accepts attendance from the QR Attendance App, standard fingerprint or face terminals, and face attendance tablets. For employees, geo-location attendance from the Teacher App must be inside the campus map radius.

Check that the intended person and attendance device are being used, then compare the recorded result with the school policy. A location restriction controls where staff can mark attendance; it should be reviewed separately from expected working hours.

  • Review registered attendance devices and remove devices that should no longer be used.
  • For phone attendance, check the campus pin and permitted radius.
  • Use the Face Attendance Gates screen to review a gate's last check-in, last punch and which gate marked a person.

How can you verify the setup before payroll?

Compare attendance records with known examples of normal arrival, late arrival, early departure and a day with no recorded punch. This practical review helps identify whether a schedule, attendance policy or recording issue needs attention.

EDUBase allows corrections to staff and student attendance, with changes logged. Review staff attendance reports and resolve disputed days before generating salaries. Once salaries are done, lock employee attendance for the month so later changes do not alter that attendance record.

  • Check individual records alongside combined or monthly staff reports.
  • Confirm that approved leave and corrections have been considered.
  • Review attendance-based salary adjustments before payment.

What information helps support resolve an incorrect mark?

Provide the affected employee or student, the relevant date, expected timings, attendance method and the mark actually recorded. Explain whether the issue concerns arrival, departure or a missing punch, and whether it affects one person or a wider group.

EDUBase offers support through a WhatsApp group, phone and the in-app assistant. The assistant answers how-to questions in English or Roman Urdu and links to the relevant screen and tutorial video.

Frequently asked questions

Can different staff members have different working hours?
Yes. EDUBase supports per-employee weekly timings and shift templates in Staff Management (HRM), used by attendance and payroll.
Does setting a shift automatically mark every missing punch as absent?
Confirm missing-punch handling with support before relying on it. Review a missing punch against approved leave and other attendance evidence before treating it as absence.
Can an early departure be marked automatically?
Yes. EDUBase can automatically record Short Leave when an employee clocks out earlier than the allowed time.
Do employee shift settings also control student lateness?
Review student attendance separately. EDUBase provides class and section registers with custom attendance marks; confirm how your student arrival policy applies to the attendance method you use.
