Every other report in EDUBase reads today's data, so the past changes under you. Attendance taken on the 10th with 100 students reads as 102 once two children are admitted on the 11th. The Daily Snapshot Report is the one place where a past date stops moving.
Where it is
Finance → Daily Snapshot Report. It is a privilege you grant, like any other screen — go to Admin → Users & Privileges and tick Daily Snapshot Report for the staff who should see it. It shows fee collected, outstanding, income and expense, so it is not open to everyone by default.
How it is recorded
- Once every night, EDUBase writes down what your school looked like that day: strength, who joined, who left, attendance marked and present, and the money position.
- That row is never recalculated afterwards. It is what the figures were at the time.
- History begins on 2 July 2026. There is nothing before that date, so the date boxes will not let you pick earlier.
Reading the report
- Pick a From and To date, and a campus if you want one.
- The cards at the top summarise the range. Closing strength is the last day's roll — it is deliberately not a total, because adding 100 students across 30 days does not make 3,000 students.
- Classes on any row opens the class-by-class breakdown behind that day.
- Students opens the actual list of children on the roll that day — their SID, name, father, admission and roll numbers, and the class they were in at the time.
Why a child who left is still on the list
A student who leaves on the 15th was in your school on the 15th. They are counted on that day and marked Left that day, and they are gone from the 16th. This is intentional — it is why the status is shown beside every name.
If it disagrees with a live screen — that is usually correct
The live screens use a student's current status. The snapshot uses their admission and leaving dates as they were on the day. So if a child left in May but their record was only updated in July, the live screen will not count them and the snapshot for May will. The snapshot is the more accurate of the two for a past date. This is the most common thing reported as a bug, and it is the feature working.
What to do if a figure is questioned
- Open the report for that exact date.
- Click Students on the row in question.
- The list is the answer — those are the children the number was made of. Check the SIDs against your own records.
Good to know
- A class renamed later still shows its old name on old dates, so a past report is not relabelled.
- The money columns are cumulative as at that date — what had been billed, collected and discounted by then — not just that day's activity. Income and expense are that day's only, using the same rule as the Profit & Loss Statement.
- The report is read-only. Nothing on this screen changes any record.
- Printing puts your school’s General Branding letterhead at the top u2014 the same stationery your other finance reports and student lists print on. Manage it under the Branding screen (Exam module, General Branding layout).
