How do I use the Messages screen to start a conversation with a parent, teacher or staff member?

Where in EDUBase: Messages

Last updated

Messages in the top bar is the Communication Center — one screen where teachers, parents, students, admins and the owner hold conversations, each signing in through their own app or the portal. It is not SMS: nothing leaves the system, so the school keeps the record. You see only your own conversations, and the number on the Messages tab is your unread count.

Using the screen

  1. Your conversations are listed down the left, with a Search conversations box above them — jis se baat karni hai us par click karein. Opening one clears its unread count.
  2. Write in the box at the bottom and press Send; Ctrl (or ⌘) + Enter sends it too.
  3. New conversation, top right, starts one: pick who it is for — Teacher, Parent, Student, Staff / Admin or Owner, whichever your school allows — search the person by name, then give it a Subject and the first message. It will not send until all three are set.
  4. The dropdown above a conversation marks it Open, Resolved or Closed. Resolved and Closed lock the typing box, so a settled matter is not reopened by a reply.
  5. The flag on a message reports it to your institute.

A conversation about a student shows that child's name, SID and class at the top, so whoever reads it later knows who it was about.

Contact details are stopped inside the message

Every message is checked for phone numbers, emails, WhatsApp and social media details, in English and Roman Urdu. What happens next is your school's choice in Communication Settings: delivered with a warning and flagged, delivered with the details hidden, or refused — Your message was not sent — with the draft kept so you can take the number out. A refused message is still stored for the school to see.

The two screens behind it

  • Communication Settings — messaging on or off for the whole institute, which pairs may talk (Teacher ↔ Parent, Admin ↔ Teacher …), whether parents and students may start a conversation, which individual teachers and staff may use Messages at all, and what happens to contact details. Set it before switching messaging on.
  • Communication Report — every conversation in your campuses with its status, message count, first-reply time and flags. Kis ne kis ko kya bheja, yahan se dekhein — read it before taking anyone's account of a conversation.

Both open from the Report and Settings buttons at the top of Messages, and each needs its own privilege.

Common confusion

"A teacher is not in the list." They are deactivated, switched off individually in Communication Settings, or that pairing is not allowed; EDUBase's own accounts are never in the directory.

"The badge shows unread but there is nothing." Refresh — the badge polls separately from the list.

"Messaging is switched off for this institute." Old conversations stay readable, but nothing new can start until an administrator turns it back on.
