EDUBase keeps one active web sign-in per username. Type the same username and password on a second laptop and that newer sign-in takes over: the first computer is dropped back to the sign-in page as soon as it opens or saves anything, with no warning, and whatever was typed on that screen and not yet saved is gone.
So the usual complaint — the program is already open on sir's computer, so it will not open on the other laptop — is not a fault and not a licence limit. It is two people sharing one username. The cure is one school login per staff member, linked to that person's HRM employee profile; your own admin can set it up.
Create an account for each person
- Check HRM › Manage Employees for the person. If absent, create their employee profile and keep it Active.
- Open Admin › Users & Privileges and press Create User. Choose that active employee first. Their name and designation come from HRM.
- Enter a unique Username, their Email and Contact, and a Password. The email is where Forgot password? sends its reset link.
- Set Status to Active, choose the Role deliberately, and tick the campuses they need. One login can have access to more than one campus.
- Save the login, then open Privileges for the new user and tick only the screens the person needs. Only a Super Admin can save that privilege sheet.
For a login created before employee linking, filter Admin › Users & Privileges to Needs employee link, open the account, and choose Link employee. Review the username and employee name/code together before confirming. The link keeps its password, role, campus access and privileges. Never choose a merely similar name; create or correct the HRM profile first. EDUBase support/system logins are managed separately and do not need school employee links.
What this fixes, and what it does not
- Two accounts mean two people can work at the same moment on two computers, each with their own password. There is no need to log the other person out first — the newest sign-in always wins.
- Sharing one login also spoils the record of who did what: Admin › User Logging shows a Who did it column on every change, and with one shared username it names that username for everybody.
- A user who has already worked in the software cannot be deleted — the software refuses and tells you to set the user Inactive instead. If their linked HRM employee is marked Left or inactive, their EMS login is blocked automatically, including an existing session. Correct the employment status in HRM › Manage Employees if it was a mistake.
- This is the web software login only. A Teacher App login is a different thing, typed into Teacher App Credentials on that person's employee record in HRM; a web user account does not open the Teacher App.
- Passwords: an admin resets any user's password under Admin › Users & Privileges › Change Password (your own password there asks for the current one first).
