How do I correct a wrong finance entry or delete an old journal entry, and where do deleted transactions go (Voided Transactions)?

A ghalat entry — wrong amount, wrong account, wrong date — is corrected from Finance › Journal Inquiry, not deleted and typed again: the row's Edit button opens Journal Inquiry › Update in a new tab, where you set it theek and save. Ticking rows instead enables Delete Selected Transactions. Every line you remove — by editing or by deleting — is copied to Finance › Voided Transactions first, so nothing vanishes without a trace.

Steps — update

  1. On Journal Inquiry find the row and press Edit (only shown for entries you may edit — see below).
  2. On the Update form change the date, campus, an account, a Dr/Cr amount or a memo; press Add More for a new line; the bin removes a line.
  3. Press Save — it is enabled only when a date and campus are set and Debit total = Credit total (and not zero). You return to Journal Inquiry.

Steps — delete

  1. On Journal Inquiry tick the checkbox of one or more rows.
  2. Press Delete Selected Transactions and confirm "Are you sure…". The whole entry (all its lines) is removed.

What is refused, and why

  • Anything linked to salary or advance salary — no Edit button, and Delete answers "Cannot Delete Finance Entry, … linked to a Salary!". Correct it from HRM. (On Save the message also says "Cannot Delete" — it means the same thing.)
  • Anything created by a challan payment — no Edit button, and Delete is refused with "…linked to a Challan!". Fix the payment on the fee screens; the finance entry follows.
  • A date outside your allowed window — this is why a purani entry is often out of reach. Your user's Challan Payment Date Restriction (Admin › Users & Privileges) sets how far back you may touch entries. Outside it there is no Edit button, delete says "outside your allowed range", and if the form is opened anyway its amount boxes, Add More and the line bins are disabled and Save stays grey.
  • After an edit the entry must still balance and keep at least two lines, or the save is rolled back as a whole.
  • Whole rupees. A paisa part typed on Update is dropped, not saved.

Voided Transactions — the audit trail

Finance › Voided Transactions (bottom of the Finance menu) lists every removed line, one row each: Campus, the original Trans ID, Trans Date, Code, Line Item, Amount, Account Name, Dr/Cr, Memo, Payment Id, and who created / updated it. Use Start Date / End Date to narrow the rows (Clear Dates resets); the column filters and the Switch Campus scope also apply. It is read‑only: there is no restore button. To bring a deleted entry back, post it again on Journal Entry — the voided rows tell you exactly what the lines were.

Who can use it

Journal Inquiry and Voided Transactions follow the Finance → Finance Reports privilege. Saving an edit or deleting is checked separately by the server — if it answers "Sorry, You are not authorized for this action", ask whoever manages Admin › Users & Privileges to grant the finance entry rights.
