In EDUBase, define each subject (and any subject groups) once in the Examinations module, attach them to the classes that teach them, then assign optional or elective subjects to individual students. Award lists, result cards and date sheets then use those subjects.
What should be set up before you add subjects?
Subjects are attached to classes, so the classes themselves need to exist first. In EDUBase this is done once in School Setup & Multi-Campus, and every other module reads from it.
If your school runs several campuses, check which classes run at which campus and which sections each class has before you start on subjects. This saves rework later when you create award lists class by class.
- Campuses and the classes each campus runs
- Sections within each class
- Sessions used on student records and reports
- Optional Academic Duration, which can warn or block exam entries outside the academic year
How do you create subjects and subject groups?
In the Examinations & Results module, start by defining your subjects, for example English, Urdu, Mathematics, Islamiat or Computer Science. Each subject is defined once and reused across classes, so you do not retype it for every class.
Where several subjects belong together, create a subject group. Subject groups are useful when you want one combined award list to cover several subjects instead of preparing a separate sheet for each.
- Use the same spelling and naming your result cards should show
- Create groups for subjects you want to enter or report together
- Keep the list tidy before marks entry begins, so award lists stay consistent
How do you attach subjects to classes?
Once subjects exist, attach them to the classes that teach them. A Grade 9 science class and a Grade 9 arts class can carry different subjects, while junior classes may share a common set.
After a subject is attached to a class, it becomes available when you create award lists for that class, subject and exam. Combined award lists can cover several subjects for the same class.
- Attach core subjects that every student in the class studies
- Attach the elective subjects the class offers, then allocate them to students
- Review each class after setup so no subject is missing before the first test
How do you handle optional and elective subjects?
Not every student in a class takes the same subjects. With subject allocation, you assign optional or elective subjects to individual students, so a student studying Biology is not listed on the Computer Science award list and the other way round.
This matters most in matric and intermediate classes, colleges and academies, where students choose between subject combinations.
What comes next: test types, grading and award lists?
With subjects attached, set up the test types you run, such as monthly tests, mid-term, final or any custom exam type, with weightage for term totals. Then define grading policies, either school-wide or class-specific, with grade bands and pass marks.
Marks are entered on award lists created per class, subject and exam. You can enter or update marks and send marks SMS to parents in the same step. If you prefer to release results at PTM time, marks can be hidden in the Parents App until you choose to show them.
- Test types and weightage for term totals
- Grading policies with grade bands and pass marks
- Award lists for marks entry, printable and exportable to Excel
- Date sheets, exam roll numbers, exam halls and roll number slips
How do subjects appear in result cards and reports?
Result cards and report designs draw on the subjects attached to each class. You can print themed result cards and month-wise, subject-wise, term-wise and combined reports with school branding and custom signatures. Class and section positions can optionally be counted only among students who passed every subject.
Examination Reports gives class, section, subject and term views, and the Teacher Performance report uses the same results to show each teacher's pass rate and averages compared with other teachers of the same subject.
Who should be allowed to change subject setup?
Subject setup affects every award list and result card, so it is sensible to limit who can change it. In Users, Privileges & Activity Log you can grant screens and actions per user, including view-only versus edit, and restrict users to their own campuses.
Teachers are linked to their work through the employee record: when you create a teacher's Teacher App login, you assign their classes and subjects there. User Logging then shows who created, changed or deleted a record, and when.
Ways to link subjects to classes and students in EDUBase
| Approach | When to use it | What it involves | Where it shows up |
|---|---|---|---|
| Subject attached to a class | Core subjects every student in the class studies | Define the subject once and attach it to each class that teaches it | Award lists, result cards and date sheets for that class |
| Subject group | Several subjects you want to enter or report together | Group the subjects, then attach them to classes | Combined award lists covering several subjects |
| Subject allocation to students | Optional or elective subjects within one class | Assign the elective to the individual students who take it | That student's award lists and result card |
| School-wide grading policy | One set of grade bands and pass marks for all classes | Define the grading policy once | Grades and pass rules across all result cards |
| Class-specific grading policy | Classes that use different grade bands or pass marks | Define a grading policy for the particular class | Grades and pass rules for that class only |
