Exams Setup: Creating Test Types and Exam Terms

In EDUBase, test types such as monthly tests, mid-term and final are defined once in Examinations & Results, each with a weightage that counts towards term totals. Award lists, marks entry and result cards then use these types for every class.

What does exams setup involve before marks can be entered?

Exams setup is the one-time groundwork that every later step depends on. In EDUBase it is done in the Examinations & Results module, where subjects, test types and grading are set up once and then reused for each class and session.

Getting this order right matters. If test types or grading are missing, teachers cannot create award lists for them, and result cards cannot total marks correctly.

  • Subjects and subject groups, attached to the classes that study them
  • Test types: monthly tests, mid-term, final and any custom exam type your school runs
  • Weightage for each test type, used for term totals
  • Grading policies with grade bands and pass marks, school-wide or per class

How do I create test types such as monthly test, mid-term and final?

Open the Examinations & Results module and add each assessment your school runs as its own test type. Monthly tests, mid-term and final are the common ones, but you can add any custom exam type, for example a pre-board, a quiz series or a practical exam.

For each test type, set its weightage. The weightage decides how much that test contributes when term totals are calculated, so a school that wants the final to count more than the mid-term sets that here rather than adjusting marks by hand.

  • Add one test type for each kind of assessment, using the names your staff and parents already know
  • Set the weightage for each type according to your assessment policy
  • Add custom exam types whenever your scheme of studies needs them

How are exam terms handled?

A term in EDUBase is reflected through the test types you create and the weightage you give them. Mid-term and final sit alongside monthly tests, and the weightage combines them into term totals on the result card.

Academic sessions are set up in School Setup & Multi-Campus and are used on student records and reports. If you switch on the optional Academic Duration, exam entries outside the academic year dates can be warned or blocked, which helps stop marks being recorded against the wrong year.

  • Use clear, term-specific names for test types so reports read correctly
  • Check the session before creating award lists
  • Consider Academic Duration if your school wants exam entries limited to the academic year

What should I set up alongside test types?

Test types work together with grading and subjects. Grading policies can be school-wide or class-specific, with grade bands and pass marks. Optional or elective subjects can be assigned to individual students through subject allocation, so award lists only include the students who take each subject.

Positions can be calculated by class and section, and optionally counted only among students who passed every subject. Decide this rule before results are published.

  • Grading policies: grade bands and pass marks
  • Subject allocation for electives
  • Position rules for class and section

What happens after the exam is set up?

Once test types exist, teachers or the exam office create award lists per class, subject and exam, enter or update marks, and can send marks SMS in the same step. Combined award lists can cover several subjects at once.

The school decides when marks become visible: marks can be hidden in the Parents App and released at PTM time. Result cards print in the school's own branding as month-wise, subject-wise, term-wise or combined reports, and date sheets, roll number slips and exam-hall allocation are on the same menu. Every award list and report can be printed or exported to Excel.

Frequently asked questions

Can I add exam types other than monthly test, mid-term and final?
Yes. Alongside monthly tests, mid-term and final, you can create any custom exam type your school runs and give it its own weightage.
How does weightage affect the result card?
Weightage decides how much each test type contributes to term totals. The result card then reflects your policy without teachers recalculating marks by hand.
Can different classes have different grading?
Yes. Grading policies can be school-wide or class-specific, with their own grade bands and pass marks.
Can I enter marks now but show them to parents later?
Yes. Marks can be hidden in the Parents App and released when you decide, for example at PTM time.
Do positions include students who failed a subject?
That is your choice. Class and section positions can optionally be counted only among students who passed every subject.
Can exam reports be exported?
Yes. Every award list and examination report can be printed or exported to Excel.
