Parents App: What Parents Can See and Do

In the EDUBase Parents App, parents can follow their child's attendance, fees, marks, diary and notices, apply for leave, message the school and receive PTM invitations. The school decides when marks are released and can restrict features for families with overdue fees.

What does the EDUBase Parents App show parents?

The EDUBase Parents App is an Android app on Google Play that gives each family a view of the information the school already holds about their child. It reads from the same records the office uses, so attendance, fees, marks and the diary shown to parents always match the web portal.

Parents log in with a one-time code sent by SMS to a mobile number saved on their child's record, so there are no parent passwords for the school to manage.

  • Attendance, including same-minute absentee alerts
  • Fees and fee details, with a notification when the month's challans are created
  • Marks and exam results, once the school chooses to release them
  • The daily diary of class work and homework written by teachers
  • Notices and news from the school, with read tracking
  • Leave applications, complaints and suggestions sent to the school
  • Messages with teachers and staff, within the rules the school sets
  • PTM invitations and a way to send feedback after attending

How do fees appear for parents, and what happens with overdue families?

Parents can see their child's fee details in the app. When fee automation is switched on, the school can optionally send a Parents App notification (alongside its own SMS template) as soon as the scheduled challans are created, and defaulter reminders can go out by app, SMS, WhatsApp or branded SMS on the day the school chooses.

Payment itself works through the voucher: each challan prints a consumer number that parents can use at a bank branch, ATM, banking app or 1Bill/1LINK channel with partner banks such as HBL, Bank Alfalah and Meezan Bank, or through PayPro and KuickPay. When the bank posts the payment, the challan is marked paid in real time.

Through Parent App Privileges, the school can warn or block app features for families based on how many months they are overdue, with per-student overrides. Fee details and contact us are never blocked, so a family can always see what it owes and reach the school.

When do parents see marks and results?

Teachers enter marks on award lists in the Examinations module. The school controls whether those marks are visible in the Parents App, so results can be entered early and released to parents at PTM time rather than the moment they are typed in.

Marks SMS can also be sent in the same step as marks entry, for families who prefer a text message.

How do attendance alerts and the daily diary reach parents?

Attendance can be marked from the class register, the Teachers App, QR cards scanned with the QR Attendance App, biometric terminals or face attendance tablets. Whichever method is used, parents receive the same absentee or arrival messages, and a gate scan can trigger an SMS, WhatsApp or app notification.

Teachers write the daily diary for their assigned classes in the Teachers App, covering class work, homework and attachments per subject, and parents read it in theirs. If the school wants a check first, diary approval can be switched on so entries are approved before parents see them.

How do parents communicate with the school through the app?

Messages works across the Parents, Teachers and Owners apps and the web portal. The school decides in Communication Settings whether parents may message teachers directly and which staff are reachable, and phone numbers and similar details are screened before a message is stored.

Parents can also apply for their child's leave, send complaints and suggestions, and give feedback after a parent-teacher meeting. Leave applications are approved by the school, and complaints and suggestions land in one report for the office.

  • Communication Report gives the record when a complaint needs the facts
  • Anyone can flag a conversation for review
  • The owner can oversee conversations across campuses in the Owners App

How does the owner track adoption and parent logins?

Parent App Analytics shows adoption by class and section, so the school knows which classes to encourage. When a login SMS does not arrive, permitted staff can look up a parent's login code on the Parents App OTP Portal, and EDUBase App Links holds the download links to copy into a message to families.

School groups can also have white-label parent apps.
