The short version
This scan only reads your data. It never changes anything. No student, attendance, exam, result or fee record is corrected, moved, created or deleted by an audit, and there is deliberately no "fix it" button anywhere on the screen. The report lists records that look contradictory or incomplete so that a person can check them.
A finding is a question, not a verdict. Most of what the report lists has a perfectly ordinary explanation, and each finding names that explanation first. Please read it before treating anything as a mistake.
Where it is
Core → AI Account Scanning & Auditing. This screen is currently available to EDUBase staff only. If it appears greyed out for your login, that is intended and not a fault — your EDUBase support contact can run a scan and go through the results with you.
The clearest example, and why it is usually fine
The commonest finding is "students shown as Currently Enrolled who also carry a leaving date". Nearly always this means the child left and later came back. When a student is re-admitted their status is set back to enrolled, and the old leaving date correctly stays on the record as history. Across all EDUBase schools, the large majority of these were confirmed re-enrolments.
A smaller number are data entry — a leaving date typed on the wrong child, or a status changed back without clearing the date. That is why the report gives you a handful of student IDs to check by hand rather than a demand to act.
What the report tells you about each finding
- How many records it applies to — an exact count, not an estimate. You can reproduce every number yourself from the student screens.
- Examples to check — a few real student IDs, so you can verify the finding is what it claims before deciding anything.
- How it compares to the last scan — Improved, Unchanged, More than last scan, or Resolved, with both numbers (for example "4 → 3"). On the very first scan there is nothing to compare against, so no comparison is shown — your older records are not "new problems".
- How serious it is — Worth checking or For information. "For information" findings usually need no action at all.
Running a new scan
Press Run New Audit. The scan runs in the background and takes a few seconds even for a large school; you can leave the page and the notification bell will tell you when it is finished.
There is a limit on how many scans one institute can run per day, and the button explains itself when it is unavailable — either a scan is already running, or the day's limit is used up. Running the same scan repeatedly on unchanged data cannot tell you anything the first one did not.
Previous scans
Every scan is kept, in your own school's database, for as long as you want it. Open Previous scans to see the history and click Open on any past report to read it exactly as it was on the day it ran. This is what makes the comparison meaningful: you can show that a data clean-up actually worked.
What it does not cover
The scan currently checks admissions and academics records — statuses, admission and leaving dates, and class assignments. Fee and examination checks will be added later. A check that does not apply to your school is skipped rather than reported as clean, so an area the scan could not look at is never presented as an area with no problems.
