Amount, and Max Limit
Amount or Percentage (%) means rupees on some policies and a percentage on others — the box does not change, so check the list below before you type a number.
Max Limit caps every policy. Whatever the calculation produces, the fine is reduced to the Max Limit.
🔴 A Max Limit of 0 means every fine works out as zero. The cap is applied to all eight policies without exception, so a policy saved with the limit left empty or at 0 charges nobody anything, and it looks like the feature is broken. Always set a real figure.
The eight policies
Absolute
A flat amount, charged once, as soon as the due date passes. Amount 200 → a challan paid one day late or thirty days late is fined Rs 200.
Absolute (Double After Challan Expiry)
The same flat amount after the due date, which doubles once the challan's expiry date passes. Amount 200 → Rs 200 between due and expiry, Rs 400 after expiry.
Per Day Fine (After Due Date)
Charged for every day the challan stays unpaid, counted from the due date. Amount is rupees per day. Amount 10, paid 30 days late → Rs 300, unless Max Limit stops it sooner.
Per Day Fine (Double After Challan Expiry)
Per day from the due date, then at double the daily rate for every day past the expiry date. Amount 10, expiry ten days after due, paid 30 days late → 10×10 + 20×20 = Rs 500.
Absolute %age of Actual Fee (After Due Date)
A percentage of the Actual tuition fee on the fee plan — the full price, before any discount this student was given. Amount is a percentage. Actual tuition 5,000 and Amount 5 → Rs 250, whatever the family actually pays.
Absolute %age of Decided Fee (After Due Date)
A percentage of the Decided tuition fee — what this student was actually agreed to pay, after their discount. Decided tuition 3,000 and Amount 5 → Rs 150. A student on a bigger discount is fined less.
Absolute %age of Current Payable Fee (After Due Date)
A percentage of what is still owing on this challan right now — the total less anything already paid or discounted. Rs 4,000 outstanding and Amount 5 → Rs 200. A part payment lowers the fine.
Actual Payment Late Fee Fine (Revoke Discount, After Due Date)
Missing the due date withdraws the discount: the family falls back to the full price, so the fine is exactly the discount they were given. Actual 5,000, decided 3,500 → a fine of Rs 1,500. A student with no discount is not fined. The Amount box is ignored by this policy — but Max Limit still applies, so set one.
What the challan prints as “After Due Date”
A printed challan shows two figures: Before Due Date, which is what is owed today, and After Due Date, which is what the family will owe if they pay late.
That second figure is worked out by the same calculation described above — the policy's own rule, with Max Limit applied. It is not the Amount box added on top. On Actual Payment Late Fee Fine (Revoke Discount, After Due Date) the printed figure is therefore the full undiscounted price: a class fee of 6,000 with a 1,000 discount prints Before Due Date 5,000, After Due Date 6,000 — never more than the price the family would have paid with no discount at all.
On the per-day policies no single number can be printed, because the amount depends on the day the family actually pays. Those challans print the daily rate instead — for example 5,000 + 50 Per Day.
Setting a policy does not put a fine on anything
This page decides how much. What decides when is Core › Late Fee Automation — on the due date, the day after, or after a grace period, skipping weekends and holidays.
Without a schedule, a late fee only appears when a member of staff presses Add Fine on Pay/Print Fee Challans, or at the counter on the day the parent actually pays. That is why a school can have a policy for years and almost never collect on it.
What is fined, and what is not
- Only challans that are past their due date and not fully paid.
- Once a fine is written onto a challan it does not recalculate by itself — except under Late Fee Automation, which keeps a per-day fine current until the challan is paid.
- The fine is inside the challan total, shown as its own head, not added on top of it.
What the line is called on the challan
The name of that head is decided by the policy you picked above, so a parent reads the right word for what was actually charged.
- On seven of the eight policies — Absolute, the per-day ones, and the percentage ones — the line reads Late Fee Fine. Something extra was charged for paying late, and that is what it says.
- On Actual Payment Late Fee Fine (Revoke Discount, After Due Date) the line reads Concession Reversed. Nothing extra was charged on that policy: the discount was taken back, so the family is simply paying the full price.
You do not set this anywhere. Change the campus's Active policy and the wording follows on the next challan you print.
Reprinting an old challan uses today's policy wording. The amount on an old challan never moves — it is stored — but the name of the line is worked out when you print it. So if you switch a campus from one policy to the other, a reprint of a challan from before the switch carries the new wording. The figure the family owes is unchanged.
