Two tabs on the same screen, and they must be used in order:
- HRM › Manage Shifts (the Shift Templates tab) — build the shift itself
- HRM › Manage Employees › Manage Time In/Out (the Assign Shifts tab) — put people on it
If the assign tab has nothing to offer, no template exists yet. The page says so and links you across.

Building a shift template
On the Shift Templates tab press Add and fill:
- Shift Name — must be unique
- Shift Type — In or Out. A template holds one time per day; the type says whether it is the arrival or the leaving time. So a school needs at least two templates: an In one and an Out one
- Days — a time for each weekday, or tick Off for a day the shift does not run, so Saturday can differ from the rest
- Applicable Designations — at least one; only staff with a ticked designation will be offered this template
Assigning
On Assign Shifts, each employee has, per weekday, a Shift in dropdown, a Shift out dropdown and an OFF Day tick. Pick both templates for each day and save. A copy option gives one employee's saved week to everyone with the same designation.
Editing and deleting a template
- Change a template's time and every employee already on it gets the new time for that day — you do not re-assign anyone.
- A template that is assigned to any employee cannot be deleted: This shift is assigned to an employee. You cannot delete this shift. Move those employees to another template first.
Steps
- HRM › Manage Shifts — create an In and an Out template with days, times and designations
- HRM › Manage Employees › Manage Time In/Out — set Shift in and Shift out per day for each employee
Common confusion
"The shift is not in the dropdown for this employee." Their designation is not ticked under Applicable Designations on the template, or you are looking in the in dropdown for an Out-type template.
"Do shifts mark attendance by themselves?" No. They define the expected timing; attendance comes from a punch or from the auto-absent job (when Employee Auto Absent is ticked on Admin › QR Biometric Attendance, running every 15 minutes between 6:00 AM and 9:00 PM to mark staff absent after shift In time + Mark Absent After minutes).
"Does the out time do anything?" It can. With the Out Time rule on under Admin › QR Biometric Attendance, clocking out too early before the shift's out time is recorded as Short Leave instead of Present, on every attendance source. It ships switched off; see hrm-024.
