How do I set a staff member's monthly salary on their salary plan, and apply an increment?

A salary plan is where a staff member's monthly pay — their tankhwah — is set in the system. Two screens do it:

  • HRM › Salary › Create Salary Plan — put an employee on a plan for the first time
  • HRM › Salary › Update Salary Plan — change a plan that already exists, including increments

Employees are shown grouped by their designation group, so you can work through a whole band together instead of hunting one by one.

What a plan holds

An amount against each allowance and deduction line you defined on HRM › Allowances and Deductions. The plan is the employee's standing pay: it is set once and the monthly salary calculation reads it, until something changes.

Paying per lecture instead

Update Salary Plan also carries the Lecture-Wise Salary block, for colleges and academies that pay visiting faculty for the lectures they delivered rather than a monthly amount. Ticking it makes the lectures the salary and the lines above are not paid unless you say so. See the lecture-wise salary article.

Applying an increment

An increment can be entered as a percentage or an absolute amount:

  • Percentage must be between 0 and 100
  • Absolute must be 0 or more

It only moves the lines ticked Incrementable on the allowance setup. If an increment appears to have done nothing, that tick is the first thing to check.

Steps

  1. Set up your lines on HRM › Allowances and Deductions
  2. Go to HRM › Salary › Create Salary Plan
  3. Find the employee under their designation group
  4. Enter the amount against each line and save
  5. Later, use HRM › Salary › Update Salary Plan for changes and increments

From salary plan to salary — the order

  1. Create the plan (steps above)
  2. Approve it — HRM › Add Approval › Salary Plan (a plan that is not approved is not used)
  3. Enter attendance for the month — daily on HRM › Attendance, or as totals on HRM › Attendance › Monthly Attendance
  4. Calculate the month on HRM › Salary › Calculate/Generate Salary
  5. Pay and print on HRM › Salary › Pay/Print Salary

Starting over with a plan

To set a salary again from scratch, open HRM › Salary › Update Salary Plan, set each person's amounts and update, then calculate the month again. If that month's salary was already generated with the old figures, it has to be removed first (see "How do I pay staff salaries … and reverse a salary") before generating it again.

Giving more than the built-in bonus — Compensation

The all-present bonus built into the salary is one day's salary. To give more — say two days' salary to someone with no leave in the month — add the extra yourself when calculating: on Calculate/Generate Salary, type the amount in that employee's This Month Compansation box, write the reason in the notes, and calculate. It is not automatic; it is added month by month this way.

Common confusion

"The employee is not on this screen." They are inactive, or they have no designation, so they fall into no group.

"Nothing appears in Calculate Salaries." An employee with no salary plan is not calculated. Create the plan first.

"Can I see what a plan used to be?" Yes — each employee's plan keeps a history of its changes.
