Where to look
Finance › Requisitions › Requisition Reports. Two reports — and the software also chases people on its own every morning.
Advance Ageing — who, how much, since when
The money each person is holding, split by age: 0–7 days, 8–15, 16–30, and over 30 days. There is a table by person showing each one's oldest advance, and a list of every open advance with the day the cash actually left.
🔴 The age counts from the day the money was issued — not the day the requisition was raised or approved. Where a requisition was paid in instalments, the whole outstanding balance ages from the first one. That is deliberately the harsher reading: a report that flatters the age is one nobody acts on.
Anything past your school's settle within days is marked overdue. That number is yours, in Requisition Settings.
🔴 The line that says whether to believe the report
Every time it opens, the report compares itself against your Staff Advances account in the New Ledger. If they match it says so. If they do not, it says by how much and where the gap most likely came from — usually an entry posted straight to that account as a journal rather than through a requisition.
The difference is shown rather than hidden, because it is real money that nobody is being asked for. A report that quietly disagreed with your ledger would be worse than no report, because you would believe it.
Requisition Register — where one got stuck
One row per requisition with approved, issued, billed, returned and still held side by side. "What happened to that one" is usually answerable at a glance, without opening anything else.
The morning reminder
Every morning EDUBase checks every requisition past your settle-within days and puts a notification in the bell for both the person holding the money and whoever approved it. Both, on purpose: telling only the holder makes it their word against nobody's, and telling only the approver makes it somebody else's problem.
The reminder is refreshed each morning, not repeated — one live notification per requisition per person, with the amount and the day count kept current.
Blocking a new requisition — off unless you switch it on
Requisition Settings has "Block a new requisition while an old one is unsettled". With it on, somebody carrying an overdue advance cannot raise a new request until they settle. It is off by default: it is the strictest option here and the one most likely to stop somebody buying what the school genuinely needs, so it is your decision.
Who can see it
These reports are read-only and carry their own permission (Requisitions — Reports), so an accountant, a head or an auditor can see who is holding money without being able to issue, settle or take any of it back.
