Student Change Log: who changed what, and when

The full history of one student record — admission form, status and fee plan — with the old value, the new value, the person and the time.

When a fee is different from last month, a child's class looks wrong, or a status was changed and nobody remembers doing it, the Change Log is where you find out what actually happened to that record — and who did it.

Where it is

Open any student list — All Students, Manage Students, Admission Queries or Students by User — click the settings button at the end of the student's row, and choose Change Log. It opens in a new tab.

It uses the same permission as Manage Students, so anybody who can open the student list can read that student's history.

What it records

  • Admission form — every field on the student's form: name, parents, CNICs, phone numbers, address, class, section, campus, session, roll number, photo, everything.
  • Status — Currently Enrolled, Left, Graduated, Expelled, Suspended and the rest, together with the leaving date and the reason.
  • Fee plan — the effective date (WEF), the discount type, and every fee head your school uses, by the name your school gave it.

Each line shows the old value crossed out, the new value beside it, the person who made the change, and the exact date and time. Fee amounts also show how much they moved by.

Reading the page

  • The summary at the top is written by EDUBase AI from the history below it. It tells you the story of the record, points out anything that looks worth checking, and suggests what to do. It is a help, not a decision — always read the entries themselves before acting on it. Press Regenerate to have it read the history again.
  • The tabs (Status, Academic, Fee Plan, Contact, Personal, Record) filter the list, and the number on each tab is how many changes of that kind exist.
  • You can also search the history, filter by the person who made the change, or set a date range.
  • Print gives you a clean copy for a file or a parent meeting.

Why many older entries say "Not recorded"

Until August 2026, EDUBase only saved the user's name against a change when a different person edited the record than last time. That means most older entries genuinely do not have a name stored, and the page says so rather than guessing. A banner near the top counts them.

Every change made from August 2026 onwards records the person, every time. Changes made in roughly the last three months can often be matched to their user from the system activity log, so those show a name too.

Why you can see more than you used to

The older version of this page displayed only six fields, so most of what was being recorded was never shown. Nothing was lost — the history was always there. The page now shows all of it, with the names of things instead of internal codes: you see "Class changed from Nursery to Prep", not "class_id 6 to 1".

Bulk changes appear too

When you promote a class, move students between campuses or change many fee plans at once from Bulk Edit, those changes are now recorded against each student and marked Bulk edit. Before August 2026 bulk changes were not recorded at all, which is why a class promotion from an earlier year may be missing from an older student's history.

Things worth knowing

  • A row is only shown when the value actually changed. Saving a form without editing anything does not add lines.
  • (empty) means the field had no value — useful to tell apart from a field that literally contains a dash.
  • The parent app login PIN is never shown here, even though it is part of the student record.
  • The page is read-only. Nothing on it changes any student data, and entries cannot be edited or deleted from the screen — that is the point of an audit trail.
