Students usually drop off an award list because they are inactive, marked as left, in another class, section or campus, or not allocated an elective subject. Subjects go missing when they are not attached to that class, so correct the record or setup and return to the award list.
How does EDUBase decide who appears on an award list?
In EDUBase, award lists are created per class, subject and exam. The list draws on the same student records used by fees and attendance, so it reflects each child's current class, section, campus and status.
If a child's record does not match the class, subject or exam you selected, that child will not show up for marks entry. The fix is almost always in the student record or in the exam setup, not in the award list itself.
- Class and section: the student must currently sit in the class and section you chose.
- Status: active students are expected on the list; inactive and left students are kept separately.
- Subject: the subject must be attached to the class, and optional or elective subjects must be allocated to the student.
- Campus: you only see the campuses your login has been granted.
Why is a particular student missing from the award list?
Start with the student's profile in Student Management & Admissions. Most missing-student cases come down to one of the reasons below.
The student change log shows who changed a student's fee, class or status, and when, which helps explain a child who was on last month's list but not this one.
- The student has been marked inactive or left with a leaving date. Leavers appear under Students Not Currently Enrolled; a returning child can be re-activated.
- The student was moved to another section or campus, for example during a batch transfer.
- The class has not been promoted yet, or the student was promoted with the rest of the class into a new session while you are looking at the old one.
- The subject is an elective and the student has not been given it through subject allocation.
- The student was admitted to the wrong class or section and needs correcting, singly or through bulk update.
Why is a subject missing when I try to create the award list?
Subjects are defined once and then attached to classes. If a subject is defined but not attached to the class you are working on, it will not be offered for that class's award list.
Check also that the exam or test type you need exists, since award lists are created per exam as well as per class and subject.
- Confirm the subject is attached to this class under the subjects, groups and subjects-in-classes setup in Examinations & Results.
- For combined award lists, confirm the subject belongs to the subject group being used.
- Confirm the test type (monthly test, mid-term, final or a custom type) has been set up.
- If the school uses Academic Duration, exam entries outside the academic year dates can be warned or blocked.
Could my own login be hiding students or subjects?
Yes. EDUBase gives each user only the screens, actions and campuses granted to them. A teacher whose login covers one campus will not see students from another, and a teacher's classes and subjects are assigned from their employee record when the Teacher App login is created.
If a whole class or subject is missing for you but visible to the office, ask your administrator to check your privileges, campus scope and assigned classes and subjects.
- Campus scope: a user sees only the campuses granted to them.
- Per-screen and per-action rights: view-only access will not let you update marks.
- Assigned classes and subjects: set from the employee record in Staff Management (HRM).
What is the quickest way to fix it and carry on entering marks?
Work from the student outwards: confirm status, class, section and campus, then the subject setup, then your own access. Most fixes take a single edit by someone with the right privileges.
The built-in AI assistant answers how-to questions in English or Roman Urdu with links to the exact screen and tutorial video. The AI Account Scanning & Auditing tool can also list records that look contradictory, such as a student enrolled with a leaving date, for a person to confirm; it changes nothing on its own.
- Search the student and read their current class, section, campus and status.
- Check the student change log if something has moved recently.
- Check subject attachment to the class and elective allocation to the student.
- Ask an administrator to review your campus scope and assigned subjects.
- Return to the award list and continue entering marks.
