In EDUBase, set up classes, then sections within each class, then link each class to the campuses that run it under school setup. A new class missing from dropdowns usually has not been linked to the selected campus, has no sections, or sits in a campus your login cannot see.
How are classes, sections and campuses connected in EDUBase?
EDUBase keeps three separate lists in School Setup & Multi-Campus: the classes your school offers, the sections inside each class, and the campus-classes link that records which classes run at which campus. A class only becomes usable at a campus once all three are in place.
Because admissions, fees, attendance and exams all read from the same setup, getting this structure right once means every later screen shows the same classes and sections without retyping anything.
- Class: the grade or level, for example Class 5 or 1st Year.
- Section: a division inside a class, for example A, B or Blue.
- Campus-class: the link that says this class runs at this campus, with these sections.
What order should I follow to add a new class?
Work from the top of the structure down. Skipping a step is the most common reason a class exists in setup but cannot be picked anywhere else.
- Confirm the campus exists in the campus list, and switch to it from the top bar if you work across several campuses.
- Add the class to the school's class list.
- Add the sections that class will have.
- Link the class to each campus that runs it, choosing which sections are offered there.
- Optionally set seat limits for the class or section under Admission Capacity.
- Reload the screen where you need the class, such as the admission form or attendance register, and check the dropdown.
Why is my new class not showing in dropdowns?
Dropdowns on admission, attendance, fee and exam screens list the classes and sections available at the campus you are working in. If any link in the chain is missing, the class is hidden even though it appears in the class list.
Check the causes below in order; most are fixed in under a minute by an admin with setup rights.
- The class has not been linked to the campus currently selected in the top bar.
- The class has been linked, but no sections have been added or assigned to it at that campus.
- You are viewing a different campus; switch campus from the navbar and check again.
- Your user account is not granted that campus, so its classes are outside your campus scope.
- The page was open before the change was saved; reload it to pick up the new class.
Can user rights or capacity limits hide a class?
Yes. In EDUBase a user sees only the campuses granted to them, so a staff member at one branch will not see classes that run only at another branch. Ask the admin to check that user's campus scope under users and privileges.
Admission Capacity works differently: the class still appears, but once a class or section is full, new admissions stop or go to an approval step. If an admission will not save, check the seat limit before assuming the class is missing.
What should I check before promoting students into a new class?
Batch transfer and promotion moves a whole class to the next session or between sections and campuses in one action. The destination class and its sections must already be linked to the receiving campus, otherwise there is nowhere to move the students to.
It is also worth confirming the session is set up, since sessions are used on student records and reports, and that any roll number series per section is configured if you use automatic roll numbers.
- Destination class exists and is linked to the campus.
- Destination sections exist for that class.
- The new session is available.
- Seat limits will not block the move.
Common reasons a class is missing from dropdowns, and how to fix them
| Cause | What you notice | Fix |
|---|---|---|
| Class not linked to campus | Class appears in the class list but not on admission or attendance screens | Link the class to the campus and choose its sections |
| No sections assigned | Class appears in some places but section dropdown is empty | Add sections to the class and assign them at the campus |
| Wrong campus selected | Other branch's classes appear instead | Switch campus from the top bar |
| Campus outside user's scope | Colleague can see the class but you cannot | Admin grants the campus to your user |
| Seat limit reached | Class is listed but admissions stop or go to approval | Review Admission Capacity for the class or section |
| Page not refreshed | Class was just added but list looks unchanged | Reload the screen |
