SMS Messaging: Check Delivery and Resend to Parents

Open the SMS Report or Family SMS Report to see what was sent and to whom, and the App Notification Report for Parents App alerts. To resend, select the families who were missed in SMS Blaster and send again, or reach them by WhatsApp or a Parents App notification.

Where can I see which SMS messages were sent to parents?

EDUBase keeps delivery logs for every message the portal sends. The SMS Report lists individual messages, the Family SMS Report groups them by family, and the App Notification Report shows notifications sent to the Parents App. Together they tell you what went out and to whom.

For WhatsApp, the WhatsApp Service screen shows your WhatsApp balance, sending statistics and message history in one place.

  • SMS Report: individual SMS messages and their recipients
  • Family SMS Report: the same messages viewed family by family
  • App Notification Report: push notifications sent to the Parents App
  • WhatsApp Service screen: balance, sending statistics and message history

Does a sent SMS mean the parent actually received it?

Not always. In general, a message leaving a school system is only the first step: the mobile network, the operator and the parent's handset all have to accept it. A phone that is switched off, out of coverage or has a full inbox may receive the message late or not at all.

If you use a branded or masking SMS gateway, the provider usually keeps its own delivery records, which you can check with them. If you use the Free SMS Sending App, the messages go out from your school's own SIM, so the phone needs to be on, connected and have an active SMS package.

How do I resend an SMS to parents who missed it?

Compare the report with the families you meant to reach, then send again only to those who were missed.

SMS Blaster lets you send a message to any selection of students, families, classes or staff, so you do not have to message the whole school a second time.

  • Open the SMS Report or Family SMS Report and filter to the message you sent
  • Note the families or students who are missing or whose number looks wrong
  • Open SMS Blaster and select just those students, families or classes
  • Choose the same wording or SMS template and send
  • For fee reminders, the fee defaulter reports also have SMS and WhatsApp actions, so you can resend from the defaulter list itself

Why do some parents keep missing messages?

The most common cause is a wrong or outdated mobile number on the student's record. Correct the guardian details on the student profile; if many records need the same change, use bulk update in Student Management.

If a whole campus received nothing, check that campus's sending setup. The Free SMS Sending App sends the portal's SMS queue campus by campus, so the phone assigned to that campus must be running. For a branded gateway, check SMS Gateway Settings.

Should I use WhatsApp or the Parents App as a back-up?

Yes, for parents who repeatedly miss SMS. Fee challans, absentee alerts, marks, notices, reminders and PTM invitations can go out as SMS, WhatsApp or Parents App notifications.

Notices posted on the Notice Board and News appear in the Parents App with read tracking, which gives you a clearer view of who has seen an announcement. Parent App Analytics shows which classes and sections have installed and log in to the app, so you know where to encourage adoption.

Frequently asked questions

Does the SMS Report prove the message reached the parent's phone?
It shows what the portal sent and to whom. Final delivery depends on the mobile network and the parent's handset, so for a branded gateway you can also check the provider's own records.
Can I resend a message only to the families who missed it?
Yes. Use SMS Blaster and select just those students, families or classes instead of sending to everyone again.
Why did an entire campus not receive the fee challan SMS?
When using the Free SMS Sending App, messages are sent campus by campus from the school's own SIM. Check that the phone for that campus is switched on, connected and has SMS balance.
What should I do if a parent's mobile number has changed?
Update the guardian details on the student's profile, then resend through SMS Blaster. For many students at once, use bulk update in Student Management.
Can parents read notices without relying on SMS?
Yes. Notices posted on the Notice Board and News appear in the Parents App with read tracking, and messages can also go out by WhatsApp.
Can I change the wording before I resend?
Yes. SMS templates let you set your own wording for challan, absentee, marks and HRM messages, with placeholders for each student's details.
Who can help if messages seem stuck?
EDUBase support is available by WhatsApp group, phone and the in-app assistant, 9:00 AM to 5:00 PM on working days. The AI assistant, tutorial videos and documentation are available round the clock.
