Training & Onboarding for School Management Staff

EDUBase trains staff through live Google Meet sessions scheduled on request, module-wise YouTube playlists, an in-app Docs page and a built-in AI assistant that answers in English or Roman Urdu. The videos, Docs and assistant are available round the clock.

What happens during onboarding before staff training starts?

Training works best when staff practise on their own school's data, so onboarding comes first. The school fills in a student data Excel file, including campus and fee details, and the EDUBase team uploads it.

Once the data is in, the team confirms the upload with a screenshot and shares the login URL, institute code and admin credentials along with a how-to video. Old dues and past payments can also be loaded, so the first challan your fee staff generate is correct.

  • Fill in the student data Excel with campus and fee details
  • EDUBase uploads it and confirms with a screenshot
  • Receive the login URL, institute code, admin credentials and a how-to video
  • Optionally load old dues and past payments before the first challan

How do live training sessions work?

Live online training sessions run on Google Meet and are scheduled on request. This lets you pick a time that suits your office, for example after school hours, and bring in the people who will actually use each module.

A practical approach is to request separate sessions for different groups, such as the fee office, the exams coordinator and HR, rather than one long session for everyone. Each group then sees only the screens it will use.

Which video tutorials can staff watch at their own pace?

EDUBase publishes module-wise YouTube playlists that staff can watch whenever they need a refresher, or that new joiners can follow during their first week. The playlists cover:

  • Student Management
  • Fee Management
  • HRM
  • Finance
  • Exams
  • Colour themes
  • Bulk attendance

How do the AI assistant and Docs page help staff day to day?

An AI support assistant is built into the portal. It answers how-to questions from EDUBase's own knowledge base and links to the exact screen and tutorial video, so a staff member can go straight from the question to the task.

Staff can ask in English or Roman Urdu, the way they actually write, or speak the question using voice input. Suggested Roman Urdu starter questions help first-time users get useful answers. On screens that support it, the form-fill copilot proposes the form fields from a description of the task, and the user reviews and saves.

The in-app Docs page holds guidelines for each feature, and new screens come with a page brief, which helps when updates add features.

How should an owner plan training by role?

In any school system, training sticks when each person learns only what their job needs. Because EDUBase grants per-user, per-screen and per-action privileges with campus scope, you can match training to the screens each role will actually see.

Teachers mostly use the EDUBase Teachers App for attendance, the diary, PTMs and messages, while parents use the EDUBase Parents App with a one-time code login. Owners and principals can follow daily P&L, attendance and approvals in the EDUBase Owners App.

  • Front office: admissions, enquiries and student records
  • Fee office: fee plans, challans, payments and defaulter reports
  • Exams coordinator: award lists, result cards and date sheets
  • HR and accounts: staff records, attendance, payroll and finance
  • Teachers: the Teachers App for attendance, diary and PTMs

Where do staff get help after go-live?

Live help is available by WhatsApp group, phone and the in-app assistant from 9:00 AM to 5:00 PM on working days. Outside those hours, the AI assistant, tutorial videos and documentation remain available round the clock.

New features and app updates ship regularly to every school without any installation on the school's side, and the Docs page and page briefs help staff pick up new screens.
