Bulk Challan Generation: billing a whole school, and telling the parents

Generate challans for everyone a filter matches without loading the student list, send the SMS in the same click — and why a student who has never been billed produces more than one challan.

The normal way to generate challans is to tick students in the grid. That stops working somewhere around a few hundred children. Bulk Challan Generation bills everyone your filters match without loading a single row — and, if you want, texts every parent about it in the same click.

Where it is

Admissions → Generate Challans, the panel at the top of the page. It uses the filters set on the grid below it, plus its own Campus and Class pickers, which start with everything selected.

How to use it

  1. Set the due date and the other challan options at the top of the page, exactly as you would for a normal run — the bulk block uses those same settings.
  2. Pick Date From and Date To.
  3. Narrow by Campus and Class if you want, or leave them as they are for the whole school.
  4. Read the count. It tells you how many students match and, next to it, how many challans that will actually create.
  5. Press Bulk Generate, or Bulk Generate & Send SMS if the parents should be told.

The work then runs in the background. You can leave the page — the bell in the top bar tells you when it has finished, how many challans were created, and which students were skipped and why.

Why one month can produce five challans for a child

This is the part worth reading twice, because it looks like double-billing and is not.

A student who has never been billed at all is billed from the start month of their fee plan — the WEF date on the plan — not from the month you asked for. So if you ask for July and a child's fee plan began in March, that child gets March, April, May, June and July. This is deliberate: their fee is owed from the day their plan started, and before this the system simply skipped them and said their first challan had to be March.

It only ever applies to students with no challan whatsoever. A student who has been billed before is only ever billed for the months you asked for.

This is why the count says "up to N challans" as well as how many students match. If some of your students have never been billed, the block tells you how many, and the challan number will be higher than the student number. Check it before you press the button — that number is your only warning, because the student list is worked out on the server and never appears on screen.

If the challan count looks far too high, the usual cause is students carrying an old fee plan who were never billed through EDUBase at all. Narrow the run by class or campus and look at those students first.

Sending the SMS

Bulk Generate & Send SMS does everything the plain button does, and then sends the parents your school's Challan Generated message. It uses the SMS settings already on this page — Father / Mother / Student, and Branded SMS, App SMS or WhatsApp — so set those first. The button stays disabled until you have chosen who to message.

  • One message per challan, not per student. A child billed for five back-filled months receives five messages, because each one carries its own amount and due date. The confirmation box tells you the number before you spend it.
  • Only the challans this run created. Running it a second time over a school that is already billed generates nothing, and therefore texts nobody.
  • The messages are queued in the ordinary SMS lane, so they do not wait behind the billing. Track them in the usual SMS report.
  • Sending SMS is its own permission. If you can generate challans but not send messages, the run is refused before anything is created and tells you so — ask your administrator.

If the button is switched off

Bulk generation needs two small database changes on your school's database. If your school has not had them yet the block says so and everything else on the page keeps working normally — contact EDUBase support and they are applied in seconds.

Good habits

  • Run it once, then check Pay or Print Fee Challans. Running it again is safe — a student cannot be billed twice for the same month — but the second run will report that everyone already has a challan.
  • Open the bell's report even when it succeeds. The skipped list is where you find the children with no fee plan, and the back-fill count is where you find out why the challan total was higher than you expected.
  • For a small correction, tick the students in the grid instead. Bulk is for whole classes and whole schools.

Challan generation never skips a student silently: every student it could not bill is listed with the reason — in the bell's report for a bulk run, and in the “skipped students” window after ticking students and pressing Generate Challans. The fast way to close the gap:

  1. Set Date From / Date To to the month that is missing.
  2. The grid underneath lists exactly the students who still have no challan for those months — the child will be in it.
  3. Press Bulk Generate — it bills everyone still missing the month and skips everyone who already has one, so nobody is billed twice.

If the child is in the grid but the run reports them as skipped, the reason names what to fix — almost always no fee plan or fee plan has no start month (WEF), both fixed on the student's fee plan.

The tick-box at the top of the student grid selects only the students on the page you are looking at — 50, 100 or 200 rows, depending on “Show entries”. In a school bigger than one page, a run built from that selection bills only that page and leaves the rest out, however complete it looks.

So when every visible row is ticked and more students match the grid, the screen now stops and asks what you mean:

  • Include all N students — bills everyone the grid matches, on every page. Use this for a whole class or whole school when not using the Bulk panel.
  • Generate for the selected … only — bills exactly the ticked page.

If some students went missing from an earlier run, this is almost always why: they were on the pages that were never ticked. The Bulk Challan Generation panel above has no page at all — it bills everyone your filters match, and is the easier way to bill a whole school.
