How do I get the school's Profit & Loss (P & L) Statement report for a month or a date range, and can I run it campus wise?

Finance › P & L Statement puts your income accounts above, your expense accounts below, and the difference at the bottom. Each side is listed under its GL Group heading. The report opens already showing the 1st of this month to today, all campuses.

Schools ask for it as poore saal ki P&L nikalni hai, kis campus ne kitna kamaya, or simply profit hua ya loss.

Steps

  1. Go to Finance › P & L Statement
  2. Pick Start Date and End Date (Get Record is disabled while the start is after the end)
  3. For a campus wise figure tick one Campus (leave it blank for all campuses); you can also narrow by User
  4. Press Get Record
  5. Print from the browser if you need paper — the printout carries the campus, start and end of the report you generated, not whatever the boxes show now

Reading it

  • Income and Expense are listed under their headings, and each line is a link to GL Inquiry for that account over the same dates (and the campus, when exactly one is ticked).
  • Total Income, Total Expense, and Profit/Loss = income minus expense. A negative Profit/Loss is a loss.
  • Only entries dated inside the range count. There is no brought-forward on this report — a profit is what happened in the period, not since the school opened.
  • Only accounts with a figure for the period are shown; an account that had no movement is left off.

Campus wise

Ticking three campuses gives one combined statement for those three, not a column each — run the report once per campus when you need them side by side. Left blank it covers every campus you are allowed to see, and the printed copy says All Campuses.

Why a line can be negative

Each figure is netted: an income line is credits minus debits, an expense line is debits minus credits. So a refund, a reversal or a correction posted to the other side of the account genuinely reduces the figure, and if more was taken back than earned or spent in that period the line goes below zero. That is the honest number, not an error — open the line in GL Inquiry to see the entries behind it.

Common confusion

"Fee income shows here — did I have to enter it?" No. Challan payments post to the finance module on their own; only non-fee income is typed on Add Other Income.

"The User filter changed the totals." It keeps only entries created or last edited by those users — useful for "what did this clerk post", not for the school's profit.

"A campus is missing." The global Switch Campus narrows this page, so the Campus list only offers campuses inside that scope; entries on a deactivated campus are not counted.

"I want the entries, not the totals." Use Day Wise P & L (New) on the Dashboard — it lists every income and expense entry line by line, with memo, for the dates you pick.

"Which P & L is the real one?" This screen reads the original finance module. The New Ledger has its own P & L on Finance › Ledger Reports, and the Shareholders screen uses this one's basis for profit share.

Finance → Finance Reports, shared with the Trial Balance, Balance Sheet and Cash Report.
