Finance › Ledger Reports is the New Ledger's report screen. All three statements come from one request so they cannot disagree with each other, and the banner at the top says in plain words whether the books balance. It opens already showing 1 January of this year to today.
Steps
- Go to Finance › Ledger Reports
- Change From and To if you need a different range, then press Get Reports
- Press Print for a paper copy with your school header
If the page says the new ledger is not switched on for your school, nothing is wrong with your data — the second set of books has not been enabled yet; contact EDUBase support.
The banner
Green "These books balance." or red "These books do not balance." — worked out, never assumed. Under it: trial-balance debits against credits, and balance-sheet assets against liabilities and equity, each saying equal or out by an amount.
Trial Balance
One line per account with Brought Forward, This Period and the closing Balance on its debit or credit side, plus its type. Accounts with a zero balance and no movement in the period are left off. An "on the wrong side" badge marks an account whose balance sits opposite to its type — an asset with a credit balance, say. The old finance reports hid that; this one shows it.
Profit & Loss
Only what happened inside the range. Each income line is credits minus debits and each expense line is debits minus credits, so a reversal really does reduce the figure and a line can go below zero. The last row says Net profit or Net loss in words.
Balance Sheet
As at the To date. Assets, Liabilities, Owner's Equity, then a line "Result for the period (not yet closed to equity)" — the profit or loss above, rolled into equity so the sheet can balance before year-end. The footer says Balanced ✓ or Out by an amount. Amounts keep their paisa.
Things to know
- A reversed entry and its reversal are both counted. They cancel each other; nothing is ever dropped from these totals, which is what makes the ledger trustworthy.
- There is no campus filter on this page; a user who is restricted to certain campuses sees only those campuses' entries. Entries with no campus — opening balances and year-end closings belong to the school as a whole — are always included, even for a campus-restricted user.
- This reads only the New Ledger. The original Trial Balance, P & L Statement and Balance Sheet read the old books. Until opening balances are agreed on Old vs New Ledger, expect them to differ.
