Finance › Shareholders is for schools with more than one owner. Enter each partner and their equity percentage once; it then shows, for any date range, the school's profit or loss, each partner's share of it, their capital, and their deposits and withdrawals. It opens on 1 July of the current school year to today.
Steps — add a partner
- Go to Finance › Shareholders, press Add Shareholder
- Enter Name and Equity (%) — both compulsory; 0 to 100
- Pick the Equity Account — only active accounts under the Equity class of Finance › Chart of Accounts are listed (any other heading is refused). Leave Not linked yet if you have not created one
- Leave Campus as All campuses for a partner in the whole institute, or pick one campus if they own a share of that campus alone
- Optionally CNIC, contact, Partner Since, notes
- Press Save. If the active partners' percentages do not add up to 100 you get a warning, not a refusal — a yellow banner says how much is unallocated (or over 100) until fixed
Steps — read the dashboard
- Set From and To, press Show
- Tick Include former partners to see inactive partners
- Press View on a row for that partner's capital transactions; Print for paper
Where the figures come from
- Income, Expense, Net Profit / Net Loss — the same basis as Finance › P & L Statement (both sides netted, original finance module), so the two agree.
- Profit Share = that result × the partner's equity %. A partner tied to one campus takes their share of that campus's result; a partner with no campus shares the whole institute (a Profit & Loss by Campus table appears when more than one campus has figures). In a loss period the column reads Loss Share.
- Capital Invested = the balance of the partner's equity account as at the To date — money put in less money taken out. In / Out this period is the movement inside the range.
- Transactions — every entry on that equity account: a credit is a Deposit, a debit a Withdrawal, with the account on the other side, the memo and who entered it. Only the latest 500 lines show; narrow the dates for older ones.
Common confusion
"Capital Invested says Not linked." That partner has no equity account. Create one under the Equity class in Finance › Chart of Accounts, then Edit the partner and pick it. Their profit share shows anyway.
"The owner deposited money — why is it not here?" This screen records nothing itself. An investment or a drawing is a normal Journal Entry: credit the partner's equity account, debit the cash or bank account (the reverse for a withdrawal). Once posted, it appears here.
"Remove — will I lose the entries?" No. Remove only takes the partner off this list; their equity account and transactions stay in the ledger. Switching Active partner off keeps them under Include former partners.
"The Shareholders module is not enabled for this school yet." Contact EDUBase support.
Who can use it
Its own permission, Finance → Shareholders — view for the dashboard, and separate create / update / delete rights for Add, Edit and Remove, which stay greyed without them. A user restricted to certain campuses sees only those campuses' figures.
