What Frozen means
Frozen is a student status, next to Currently Enrolled, Left, Suspended and the others. Use it for a pupil who is away for a period and will be back — a family going for Umrah, a year abroad, a long medical absence — when the school wants to keep the admission on the books without billing the months away.
While a student is Frozen:
- No fee challan is generated for them — not from Generate Challans, not from the bulk run, not from a scheduled run. The run reports the student as skipped with the reason and the period, exactly as it reports a student with no fee plan. Challans already generated before the freeze stay as they are.
- They drop off every roster — attendance, exams, award lists, the teacher app and the enrolled counts — the same way Left or Suspended pupils do, because every roster in EDUBase is "Currently Enrolled".
- They are not counted as a withdrawal. The Withdrawals widget and the strength reports treat a Frozen pupil as still on the books, and no leaving date is written.
How to freeze a student
- Open Admissions › Manage Students, find the student and open Update Student.
- Under Current Status choose Frozen.
- A prompt asks for the period (from and until dates) and a reason — Going to Umrah, Going out of country, or Other with a one-line note. The prompt reminds you that fee challan generation and all activities will be frozen for this period.
- Confirm the prompt, then Update the student as usual.
Frozen is only offered on Update Student. A new admission cannot be saved as Frozen, and the bulk status update does not offer it, because each freeze needs its own period and reason.
What you will see
Wherever the student appears in a grid with a status column — Manage Students, All Students, Students Not Currently Enrolled, Student Extras and the fee screens — the status reads Frozen with the reason and the period in small text underneath, for example Going to Umrah · 01-Oct-2026 to 31-Mar-2027. Once the until date has passed the small text adds ended. The Student 360 page shows the same under the student's name.
Bringing the student back
Nothing changes the status automatically when the period ends — the office decides when the pupil is back. Open Update Student and set Current Status to Currently Enrolled. The period is cleared, the student is on every roster again, and the next challan run bills them from the month you choose (the months away are simply not generated unless you generate them on purpose).
If your school uses admission capacity limits, returning a Frozen pupil to Currently Enrolled counts as filling a seat, like any other re-enrolment.
