Branding & Printing: Fix Small or Cut-Off Reports

Most print problems come from the browser or PDF viewer, not the report: wrong paper size, portrait orientation for a wide report, or scaling such as 'fit to page'. Fix those print settings first, then choose the report's own layout, such as a vertical or horizontal voucher.

Why does a report print too small, cut off or on the wrong paper?

EDUBase produces vouchers, cards, certificates, letters and reports as branded PDFs for print. Once the PDF reaches your browser or PDF viewer, that program decides how the page is fitted onto the paper in your printer. Most problems at the school office are caused by a mismatch between the report's layout and those print settings.

In general, three things go wrong: the paper size selected in the print dialogue does not match the paper loaded in the printer, the orientation is portrait when the report is wide, or the viewer shrinks or enlarges the page to fit.

  • Too small: the viewer is scaling the page down, often because 'fit to page' or 'shrink to fit' is on, or because a wide report is being squeezed onto portrait paper.
  • Cut off on the right or bottom: the scale is set too high, margins are too large, or the printer's paper size is smaller than the one chosen.
  • Wrong page size: the print dialogue defaults to a paper size different from the one in the tray, such as Letter instead of A4.

How do I check the print settings before printing?

Open the print preview and look at the page before sending it to the printer. The preview shows exactly what will come out, so you can correct it without wasting paper.

  • Paper size: choose the size actually loaded in the printer, and set the same size in the printer's own properties if your printer has a separate setting.
  • Orientation: use landscape for wide reports with many columns, such as month-wise fee or attendance summaries.
  • Scale: try 'actual size' first; use 'fit to page' only when a page is slightly too wide.
  • Margins: choose default or minimum margins if the edges are being trimmed.
  • Headers and footers: turn off the browser's own date, page address and page numbers if they overlap your school's footer.

Which layout options inside EDUBase affect the printout?

Some printouts have their own layout choices that change how much fits on a page. Pick the right one before you adjust the browser's scale.

Fee challans can be printed single, family-wise or as compact multi-per-page vouchers, and the challan settings let you choose vertical or horizontal voucher layouts with header and footer notes. Student and employee ID cards can be designed vertical or horizontal. The print templates and branding settings apply your logo, colour themes and footer signatures to reports, cards and result cards.

  • If vouchers spill onto a second page, try a different voucher layout or the compact multi-per-page option.
  • If cards are misaligned on card stock, check the card orientation matches the stock and print at actual size.
  • If a long footer note or signature block pushes content off the page, shorten the note in the settings.

What should I do when a report is too wide for any paper?

Some reports have many columns, for example a full year of months across the page. Printing in landscape on the largest paper your printer supports usually solves it. If the report is mainly for checking figures rather than handing out, export it instead: every fee report and every award list can be exported to Excel or CSV, where you can hide columns or set the spreadsheet's own print area.
