Teacher App Sign-In for Attendance and Diary

Teachers sign in to the EDUBase Teachers App on Android with the school's institute code, a username and a password, created by the school from their employee record. Once signed in, they mark attendance and write the daily diary for the classes assigned to them.

What does a teacher need before signing in to the Teacher App?

The EDUBase Teachers App is a free Android app published on Google Play. A teacher does not create their own account. The school's administrator creates the Teacher App login from the teacher's employee record in Staff Management (HRM) and assigns the classes and subjects that teacher works with.

The class assignment matters as much as the login. It decides which classes appear for attendance and which classes the teacher can write the diary for.

How does a teacher sign in, step by step?

Staff across EDUBase sign in the same way: the school's code, then their own username and password. This keeps each school's users separate, and each school's data sits in its own database.

Sessions expire, so a teacher may occasionally be asked to sign in again. This is expected behaviour, not an error.

  • Once signed in, your assigned classes are available for attendance and the diary

How do teachers mark student attendance from the app?

After signing in, the teacher opens the attendance option, picks one of their assigned classes and marks each student. The school decides which attendance marks it uses, for example Present, Absent, Late and Short Leave.

Attendance taken in the app goes into the same records as the class register on the web portal. Parent alerts and attendance reports therefore work the same way whichever method was used. The school can send absentee SMS or WhatsApp messages to parents, and the Owner App lists the day's absentees.

How do teachers write and send the daily diary?

Teachers write the Student Diary for their assigned classes in the Teacher App. Each entry covers class work and home work per subject and can include attachments. Parents then read the diary in the Parents App.

Some schools turn on diary approval. In that case a diary entry is approved before parents see it. The office can also view, print or save any diary as an image from the web portal, filtered by class, section and date.

What else can teachers do once signed in?

The same login opens the rest of the Teacher App, so teachers do not need separate accounts for different tasks.

  • See their own attendance; where the school uses geo-location attendance, staff marking from the app must be inside the campus map radius
  • Apply for leave, which managers approve on the web or in the Owner App
  • Read staff notices from the employee notice board
  • View their payslip
  • Message parents through Messages, within the rules the school sets in Communication Settings
  • Run parent-teacher meetings, including recording voice notes from which a written summary is drafted for the teacher to edit

What should a teacher do if they cannot sign in?

First check the institute code, username and password carefully. If the password has been forgotten, a school admin resets it, because staff passwords are reset by an administrator rather than by the teacher.

If the teacher can sign in but a class is missing for attendance or the diary, the class has probably not been assigned on their employee record. The school's administrator can add it.
