Diary & Homework: How Teachers Send It to Parents

Teachers write the daily diary in the EDUBase Teachers App for their assigned classes, adding class work, home work and attachments per subject. Parents then read it in the EDUBase Parents App, either straight away or after the school approves it.

How does a teacher write the daily diary in the Teachers App?

The daily diary is written in the EDUBase Teachers App, the free Android app teachers use for attendance, PTMs, messages and their own payslip. A teacher can only write the diary for the classes and subjects they have been assigned, so each entry reaches the right families.

For each subject, the teacher records what was covered in class and what has been set as homework. Attachments can be added, so a worksheet or a photo of the board can go with the written instructions.

  • Open the diary in the Teachers App and choose the class, section and subject you teach.
  • Enter the class work covered today.
  • Enter the home work set for the students.
  • Add an attachment if it helps, such as a worksheet or a photo.
  • Save the entry so it goes to parents, or to approval first if your school uses that step.

How do teachers get access to the right classes?

The school office creates each teacher's Teachers App login from their employee record in Staff Management. On the same record, the office assigns the classes and subjects the teacher handles for attendance and diary.

If a class is missing from your diary list, ask the office or administrator to check your class and subject assignment. Do not ask colleagues to post diary entries on your behalf.

Does the school check the diary before parents see it?

Diary approval is optional and is the school's choice. If it is switched on, a diary entry waits until an authorised person approves it, and only then do parents see it. If it is off, parents see the entry once the teacher saves it.

The owner or principal can approve diaries on the phone in the EDUBase Owners App, alongside leave and salary approvals. This keeps the diary moving even when the approver is away from the office.

How do parents read the diary and homework?

Parents sign in to the EDUBase Parents App with a one-time code sent to their registered mobile number. There is no shared password to remember. In the app they follow their child's diary together with attendance, fees, marks and notices.

The office can see how many families in each class have installed and use the app through Parent App Analytics. Teachers can use this to see which classes need a reminder to download the app.

What can the school office do with the diary on the web portal?

On the web portal, the Student Diary view lists entries filtered by class, section and date. Office staff can edit an entry, print it, or save it as an image. This helps when a family needs a printed copy or when the principal wants to review a week's homework across a class.

When should a teacher use Messages or the Notice Board instead?

The diary is for routine daily class work and homework for a whole class. For a conversation with one family, use Messages, the in-app messaging available in the Teachers and Parents apps. The school's Communication Settings decide whether parents may message teachers directly.

For announcements that are not tied to one subject, such as a trip or a holiday, the school uses Notice Board and News. These announcements appear in the Parents App and Teachers App, and the school can track who has read them.
