What this is for
The gate is worked by a guard, on a tablet, in a hut by the road. That tablet should show the gate screen and nothing else — not the fee reports, not the student list, not the staff salaries. This is how you make a login that does exactly that.
It is a normal staff login. There is no new kind of account, no device to enrol and no separate password system. You create a user the way you create any other, and tick two boxes.
Making one — three steps
- Go to Admin › Users & Privileges and add a user, for example gate1. Give it its own password; do not reuse a person's.

Open that user's privileges and tick both of these, which sit together
under Front Desk:
- Gate Entry — lets them use the gate screen.
- Gate Entry Only Role — restricts them to it.
- Save, and sign in as that user on the tablet to check it.
🔴 Both ticks, or it does not work
The two boxes do opposite halves of the job, and either one on its own gives you something you did not want:
- Gate Entry Only Role on its own — the login is sent to the gate screen and then refused by it, because it has no permission to read the gate. The person sees an error and can go nowhere else. This is the mistake to watch for.
- Gate Entry on its own — this is the normal front-desk arrangement, and it is fine. The person can use the gate screen and still sees the rest of the menu they have privileges for. Tick the second box only for a tablet you want locked down.
What the guard sees
Signing in takes them straight to Gate Entry, full screen, with the menus, the search box, the campus tags and the notification bell all gone. Typing another address into the browser brings them back to the gate screen. It works the same on a phone: the drawer holds Gate Entry, Appearance and Logout, and nothing else.
They can always sign out. Logout is on the gate screen itself and in the menu on a phone — a locked-down login is never a login somebody is stuck inside.
Full screen can still be switched off from the button on the gate screen, which is there so a person who needs to see the ordinary page furniture can. Turning it off does not give them any menu back.
🔴 It hides the menu; it is not a lock on your data
This setting decides what the software shows. It is not a replacement for the privileges themselves. So give a gate login the two ticks it needs and nothing more — never tick extra privileges "because the menu is hidden anyway". If the account should not be able to do something, the way to make sure of that is to not grant it, exactly as for every other user.
Treat the tablet the same way: it lives in a public place, so give it its own password, change that password when the guard changes, and do not let it share a login with the front office.
Turning it off
Untick Gate Entry Only Role in Users & Privileges and the account is an ordinary login again on their next sign-in, with whatever privileges it holds. Nothing else changes and nothing is deleted — the visits that login recorded stay exactly where they are.
If you ticked it on the wrong person and they can no longer reach the privileges screen themselves, any administrator can untick it for them. Your own school administrator account and EDUBase support staff are never restricted by this box, so there is always somebody who can undo it.
More than one gate
Make one login per tablet — gate1, gate2 — rather than sharing one. The gate screen shows the campus of the login using it, so a second campus needs its own account anyway, and separate logins are what let you tell later which gate recorded an entry.
