A child is in class and needs to leave — a dentist appointment, a parent at the gate, a family emergency. This screen is how the front office says yes, and how the gate records that it happened.
How it works, in four steps
- The front office fills this form in and saves it.
- The student walks to the main gate.
- The guard sees them on Gate Entry → Student Exit, with the reason, who is collecting them and who authorised it.
- The guard presses Check Out. The exit time and the guard's name are recorded.
The guard cannot create a pass, only close one. That separation is the whole point: the office decides a child may leave, the gate records that they did.
Leaving with
If somebody is collecting the child, choose Pick-up person and the list offers only the people that family has already authorised — the same list kept on the student's own page. A guard comparing a name written on a slip against nothing is not a check; comparing it against the family's own list is.
If the family has nobody on that list, add them on the student's page first.
Things the screen will refuse
- Two open passes for the same child on the same day. Two live passes means two people can each turn up and both look authorised.
- Cancelling a pass after the child has left. At that point they are off the premises, and a record saying otherwise is worse than no record.
- A pick-up person who belongs to a different child.
Who can use it
Users & Privileges → Visitor → Student Exit Pass. It is separate from Gate Entry deliberately, so the guard cannot issue passes and the office cannot close them.
The leave & exit history
Below the form, Leave & exit history lists every student leave and short leave over a date range you choose — it starts on the last 30 days — with filters for leave type, status and student. Each row shows the check-out / exit time the gate recorded.
A blank check-out time is meaningful and is never filled in with a guess: it means the pass was issued and the gate has not recorded that child leaving. Either they are still on campus, or the guard did not press the button.
