This is the screen for the person standing at the gate. It is deliberately the smallest screen in EDUBase: three tabs, two kinds of button, and text large enough to read while standing up with a queue in front of you.
The three tabs
- Walk-in Entry — somebody nobody was expecting. Four boxes (name, mobile, where they are going, purpose) and Check In. Everything else about them can be filled in from the front desk later; the record already exists.
- Scheduled Meetings — visitors the office has already registered. Their details are on the card. Press Check In and nothing is typed again.
- Student Exit — children the front office has authorised to leave. Press Check Out and the exit time is recorded against your name.
Check In and Check Out
"Inside now" counts the people who were checked in and have not been checked out. That is the number the guard is accountable for, so check people out as they leave — a visitor left open all afternoon makes the count meaningless.
Pressing Check In twice does no harm: the arrival time recorded is the first one, not the second.
The screen refreshes itself
The board reloads every 20 seconds. When the office sends somebody to the gate, they appear without anybody pressing refresh.
Full screen on a tablet
The Full screen button hides the menus and turns the page into a gate console. Press it again to come back — it is always reversible.
Setting it up for a guard
Create one staff login for the gate and, in Users & Privileges, tick Visitor → Gate Entry and nothing else. That login can then check people in and out and release authorised students, and can reach nothing else in EDUBase — not the student list, not the purposes on other people's visits, not the notes on a child's exit pass. Keep it that way: the tablet lives on a desk at the gate.
What the gate cannot do
It cannot issue a student exit pass, only close one. It cannot see yesterday's visits. It cannot register a visitor for another campus.
