⚠️ It cannot be undone. There is no recycle bin and no undo button. Read this whole article before using either screen.
Admin › Data Truncate exists for one situation: a school that has been practising on the system and wants to clear the practice data before going live for real.
What you can delete, and how far it reaches
| Option | Scope |
|---|---|
| Students | Per campus |
| Fee Plans | Per campus |
| Discounts & Payments | Per campus |
| Finance Entries | The whole school |
| SMS History | The whole school |
The first three are chosen per campus, so a multi-campus school can clear one branch and leave the others alone. The last two are not — they take everything.
The confirmation is deliberate
You must type DELETE in capitals before the button will work. That is the only thing standing between a mis-click and your data. If you find yourself typing it without having read what is ticked, stop.
Permanent Data Truncate is the harder one
Admin › Permanent Data Truncate is a separate, stronger screen with the same DELETE confirmation. Treat it as final in every sense.
Before you use either
- Ask support to take a backup first. This is worth the wait every time.
- Check which campus is selected. On a multi-campus school this is the mistake that actually happens.
- Check which boxes are ticked, not which you meant to tick.
- Consider whether you need this at all — a student who has left should be marked inactive, not deleted. Inactive keeps their fee history and lets you issue a certificate later.
Common confusion
"Can support restore it?" Only from a backup taken before the deletion. If no backup exists, the data is gone.
"I only wanted to remove one student." Do not use this screen. Open the student and mark them inactive.
"Does it delete our fee structure too?" Deleting Fee Plans removes what students were assigned, not the plan definitions under Core. But do not rely on that distinction — take the backup.
