How do I link our school WhatsApp number to EDUBase with a QR code, and reconnect an account that shows disconnected?

Admin › Manage WhatsApp links your school's WhatsApp number by QR code, the same way WhatsApp Web does. Admin › Add WhatsApp (WhatsApp Service) is where the school downloads the Windows sender and chooses who delivers messages. EDUBase does not offer a hosted WhatsApp portal on that page — there is no Open WhatsApp Portal button.

Linking the number

  1. Go to Admin › Manage WhatsApp
  2. Generate the QR code
  3. On the phone holding your school's WhatsApp number, open WhatsApp → Linked devices → Link a device
  4. Scan the QR shown on screen
  5. Save

🔴 A QR code links one session only. Once scanned it is spent — if you need to link again, generate a fresh one. A QR left sitting on screen also expires: the screen gives you about 30 seconds to scan one, and Refresh QR makes a new code. A failed scan is almost always an expired code, so refresh and scan again.

If an account says disconnected

Every linked number sits in the accounts list with its own status. Connected is normal. Disconnected means WhatsApp has dropped that session and nothing will go out from it until it is linked again — the row says so itself: scan a new QR code to reconnect. Disconnected likha aaye to QR refresh karke scan karein.

A row can be renamed, so you can tell which number it is, and one the school no longer uses can be deleted.

Use a number the school keeps

The linked phone must stay switched on and connected. Link a school number that stays in the office, not a staff member's personal phone — when that person is on leave or leaves the job, messages stop.

Balance and history

The screen shows the account's balance, sending statistics and message history, so "did the parent get it" is answerable here. If sending has stopped, check the balance before assuming a technical fault.

Steps if messages stop going

  1. Check the balance on this screen
  2. Check the session is still linked — a phone that was off for a long time can drop
  3. Look at the message history for that parent: sent, or never attempted?
  4. If never attempted, the problem is upstream — check the parent's number on the student record

Common confusion

"It says linked but nothing sends." Usually balance, or the linked phone has been off. Both show on this screen.

"Can we use two numbers?" The screen works against the active account; ask support before splitting sending across numbers.

"Is this the same as SMS?" No. SMS goes through the Android EDUBase SMS app (which picks its campuses on login). WhatsApp and SMS are separate paths with separate settings.
