Admin › User Logging records every add, change and delete anyone makes in your school — kaun sa user, kya tabdeeli, kab — and it now reads as sentences rather than as raw data.
Each line tells you four things:
| How serious | Critical, Important, Normal or Routine |
| What happened | in plain words, e.g. "naveed updated Student #6865 — Muhammad Ahmad: Student Name changed from Muhammad Ahmad to Muhammad Ahmad Shahid" |
| Which record | the student ID or the record number it belongs to, with the name |
| Go to it | a button that opens the record itself |
What the four levels mean
- Critical — money or access changed after it was recorded, or somebody left. Deleted payments, edited vouchers, changed salaries, new logins, changed privileges, a student marked as Left.
- Important — a real record somebody edited: a student, an employee, a challan, a fee plan, exam marks.
- Normal — everyday work: diaries, notices, certificates, settings.
- Routine — the system recording its own work: attendance being marked, app notifications, SMS logs.
Recording a new payment is Important, not Critical. Changing or deleting one afterwards is Critical — that is the difference the page is built around.
Most of the log is hidden when you open it, on purpose
At a busy school roughly three quarters of these entries are the system marking attendance and queueing parent notifications. They are hidden when the page opens so the changes people made are on top. Turn on Include routine system entries to see everything.
To find out who deleted a challan, a payment or any other record
Kisi ne fee payment delete kar di ho ya challan — kis ne ki, kab ki aur usme tha kya, sab ka pata yahin se chalta hai.
- Open Admin › User Logging
- Set How serious to Critical only
- Set the From and To dates to the day it went missing
- Read the lines — a deletion says so, names the record and the student, and names the person
A deleted fee challan, a deleted fee payment, a deleted discount, a deleted finance voucher and a deleted salary record are all Critical, so this one filter finds every one of them. The line reads like "ceo.central deleted Fee Payment (Student #4659 — Ahmed Khan)", with the date and time beside it.
Deleted records keep their detail here even though the record itself is gone — press Details to see everything it held. There is no page left to open, so Go to it is greyed for a deletion.
Seeing the change for yourself
Press Go to it on any line. The record opens in a new tab, a bar at the top says what changed, and the fields that changed are outlined in orange.
If a field is not shown on that page the bar still lists the change in words and tells you it could not point at it.
Every morning you get yesterday's summary
A one-line summary of the previous day arrives on the notification bell in EDUBase web and on the Owner App — but only on a day worth checking: something critical, something deleted, or a lot of changes. A quiet day sends nothing. The same summary sits at the top of the User Logging page.
How long the log is kept
Entries are kept for three months (90 days), then archived automatically overnight. Critical and important entries are kept in full — who, which record, what changed — and everything else is kept as a daily count of how much happened. Nothing you would come to this page to look for is thrown away.
Common confusion
"It says System instead of a name." That entry had no signed-in user — a background job, a bulk import, or the parent or teacher app. It is marked System rather than guessing at a person.
"The line says the record was re-saved but nothing changed." The record was saved and no field a person would recognise moved. This usually means the system finished writing its own reference number.
"I cannot see this page." User Logging is governed by the Admin › Users privilege. Ask a Super Admin to grant it under Admin › Users & Privileges.
