How do I see who changed a student's record — the fee, the class or the status — and when (Change Log)?

Every student record keeps its own history — an audit trail (purani history): the admission form, the status (Currently Enrolled, Left, Graduated and the rest) and the fee plan. Open the Change Log from the student's row. It answers kis ne fees change ki, kis ne status Left kiya, kis ne class badli — who did it, and when.

Where it is

  1. Open All Students, Manage Students, Admission Queries or Students by User
  2. Click the settings button at the end of that student's row
  3. Choose Change Log — it opens in a new tab

Whichever of the four lists you start from, it is the same page showing the same history.

It uses the same permission as Manage Students, so anyone who can open the student list can read the history.

What you see

Each entry shows the old value crossed out, the new value beside it, the person who made the change, and the exact date and time. Fee amounts also show how much they moved by.

  • The tabs — Status, Academic, Fee Plan, Contact, Personal, Record — filter the list, and the number on each tab is how many changes of that kind exist.
  • You can search the history, filter by who made the change, or set a date range.
  • Print gives a clean copy for a file or a parent meeting.
  • The summary at the top is written by EDUBase AI from the history below it: what has happened to this record, anything worth checking, and what to do next. It is a help, not a decision — read the entries themselves before acting on it.

Why many older entries say "Not recorded"

Until August 2026 EDUBase saved the user's name against a change only when a different person edited the record than last time. So most older entries genuinely have no name stored, and the page says "Not recorded" instead of guessing. A note near the top counts them.

Every change made from August 2026 onwards records the person, every time. Changes from roughly the last three months can usually be matched to their user from the system activity log, so those show a name as well.

Why the history now shows much more than before

The older version of this page displayed only six fields, so most of what was recorded was never on screen. Nothing was lost — it was always being saved. The page now shows all of it, in words: "Class changed from Nursery to Prep", not an internal code.

Bulk changes appear too

Promoting a class, moving students between campuses, or changing many fee plans at once from Bulk Edit is now recorded against each student and marked Bulk edit. Before August 2026 bulk changes were not recorded at all — that is why a class promotion from an earlier year may be missing from an older student's history.

Good to know

  • A line appears only when the value really changed. Saving a form without editing anything adds nothing.
  • (empty) means the field had no value — different from a field that contains a dash.
  • The parent app login PIN is never shown here.
  • The page is read-only, and entries cannot be edited or deleted from it. That is the point of an audit trail.
